Business System Analyst
Job Overview
Open House Estate Agents Bolton is a well-established residential and commercial estate agency, providing property sales, lettings and property management services across Bolton and the surrounding area. Our team handles the full customer journey, from first enquiry through to completion, and we rely on consistent systems and accurate data to keep that process running smoothly. We are looking for a Business Systems Analyst to take ownership of the systems, data and reporting that support our sales, lettings and property management operations, working closely with our sales, lettings and accounts teams to keep case progression, compliance prompts, communication logging and record retention all working reliably.
Responsibilities
Own analysis of workflows across sales, lettings and property management cases, identifying duplication, delays and control gaps, and delivering improvements
Gather requirements directly from senior management and operational/finance leads, and translate these into system configurations, templates and process controls that fit real day-to-day operations
Configure, maintain and continuously improve our core business systems, including the CRM platform, to keep case stages, task ownership, communication records and reporting fully auditable
Build and maintain structured management information and operational reporting, giving pipeline visibility, task status, workload oversight and service performance indicators to support decision-making
Lead controlled change delivery: scope and test system and process changes, roll them out with minimal disruption, and maintain a clear change log
Support monthly financial and sales reporting, reconciling data between the CRM and accounts systems to catch and resolve discrepancies early
Support budgeting, forecasting and cash-flow reporting through the systems and data you manage
Support SEO and digital marketing reporting, tracking website performance and lead-generation trends to inform business decisions
Train and support staff across the business on correct system use, embedding consistent adoption and reducing reliance on manual workarounds
Experience
Degree in Business, Finance, IT, Data or a related discipline, or equivalent demonstrable professional experience gained in a fast-paced operational role
1–2 years' experience in a business systems analyst, business/data analyst, or process improvement role, or equivalent demonstrable experience
A proven track record of configuring and administering CRM or case-management platforms end to end, not just using one day to day
Comfortable working with financial and sales data, with the analytical rigour to spot and resolve reconciliation issues
Advanced Excel and reporting skills, comfortable building dashboards, KPIs and management information from scratch for a busy management team
Some exposure to SEO, digital analytics or website performance tools (e.g. Google Analytics, Search Console) is a plus
Excellent stakeholder management and communication skills, including experience training non-technical staff and supporting adoption across a team
Good financial awareness, able to look across the business and spot opportunities to reduce costs and improve efficiency
