Digital and Practice Administrator

Job summary

This is a varied and rewarding role, ideal for someone with strong IT skills, excellent organisational abilities and the confidence to work independently. You will need to be able to manage competing priorities, communicate effectively with colleagues and patients, and maintain a high level of accuracy and professionalism.

The role will also include ad-hoc reception duties and cover, so a friendly, approachable and professional manner is essential.

Main duties of the job

Providing general administrative and organizational support across the practice

Assisting with the coordination of practice processes and day-to-day operational tasks

Maintaining accurate records and ensuring information is handled appropriately, securely and confidentially

Providing reception cover and support as required, including welcoming patients and responding to enquiries

Working collaboratively with GPs, clinicians and the wider practice team

Manage day to day IT queries and supporting new starter processes

Running clinical searches and producing relevant information as required

Processing IGPR requests

Identifying opportunities to improve administrative processes, systems and efficiency

Supporting the implementation of new systems and processes where appropriate

Undertaking any other duties appropriate to the role and the needs of the practice

Our team consists of one GP Partner, two Salaried GPs, two Practice Nurses and one Healthcare Assistant, supported by a welcoming administrative and reception team.

Job responsibilities

We are looking for an experienced, highly organised and proactive Digital and Practice Administrator to join our busy practice team. Working closely with the Assistant Practice Manager and Practice Manager, you will play an important role in supporting the day-to-day administration and smooth running of the practice.

Qualifications

Essential
  • Evidence of relevant administrative experience and/or equivalent experience gained through previous employment.
  • Previous experience working within an NHS environment.
  • Previous experience working in a busy administrative environment.
  • Excellent IT skills with confidence using Microsoft Office and a range of computer programmes and digital systems.
  • Ability to learn and confidently use relevant practice systems.
  • Ability to maintain accurate records and process information accurately and securely.
  • Understanding of confidentiality and the importance of securely handling sensitive and personal information.
  • Excellent organisational skills with the ability to manage competing priorities and meet deadlines.
  • High level of accuracy and attention to detail, particularly when handling patient and practice information.
  • Excellent verbal and written communication skills. Ability to communicate effectively with patients, clinicians and colleagues.

  • Previous experience using GP practice systems, clinical systems or electronic patient record systems.

  • Previous experience of NHS Information Governance requirements and processing information governance requests.
  • Experience coordinating multiple administrative processes or projects.

  • Previous experience working in a GP reception or primary care patient-facing role.

  • Previous experience contributing to or implementing service/process improvements.
