Compliance Manager

Job summary

We are seeking an experienced and proactive CAFM Systems and Compliance Manager to join our Estates and Facilities team. This role plays a vital part in ensuring that our estates, facilities and property services operate safely, effectively and in full compliance with statutory and regulatory requirements.

As a key member of the Estates and Facilities Department, you will be responsible for the effective management and development of the Trust's Computer-Aided Facilities Management (CAFM) system. You will ensure the system remains fully operational, accurate and robust, providing the information and assurance required to demonstrate compliance across Hard FM, Soft FM and Property Services functions.

You will work closely with operational teams to maintain accurate asset records, oversee planned preventative maintenance (PPM) schedules, support compliance reporting, and ensure staff are appropriately trained to fulfil their responsibilities.

Main duties of the job

  • Lead and monitor compliance with planned preventative maintenance (PPM), statutory and mandatory requirements across Estates and Facilities services.
  • Develop and maintain comprehensive PPM programmes, ensuring maintenance activities are completed and accurately recorded within CAFM and Trust systems.
  • Produce compliance reports and documentation, demonstrating performance against agreed KPIs and service standards.
  • Monitor delivery against maintenance schedules and programmes of work, identifying and addressing any areas of non-compliance.
  • Work closely with Service Managers to review performance, track actions and drive continuous improvement through regular governance meetings.
  • Oversee contractor performance, ensuring services are delivered in line with contractual requirements, compliance standards and Trust expectations.
  • Ensure contractors adhere to the Trust's Safe Working Policy, Permit to Work procedures and all relevant health and safety requirements.

Skills and experience

Essential
  • Proven leadership and staff management skills (visible leader).
  • Ability to manage and review complex data and present to a varied audience
  • Substantial relevant post-qualification experience as a senior manager within an Estates and Facilities department or managing compliance.
  • Experience of working across departments and organisational boundaries.

Knowledge

Essential
  • Able to demonstrate expert knowledge of all aspects of contract management and procurement.
  • Able to demonstrate expert knowledge of procurement rules and regulations; including OJEU and public sector procurement rules.
  • Good knowledge of Estates and Facilities services.

Qualifications

Essential
  • Educated to degree level, or equivalent professional qualification, or equivalent professional experience.
  • NEBOSH General Certificate.
