An exciting opportunity for an experienced & motivated Digital Optimisation Senior Co-ordinator to join the Digital Transformation team at Oxleas NHS Foundation Trust.

This key role will support the delivery of digital, organisational & behavioural change across the Trust's mental health, community, forensic & prison services. Working closely with clinical, operational, digital & data colleagues, the post holder will lead projects that improve clinical & operational processes, maximise the benefits of digital technologies & support the delivery of Trust priorities.

The role will be responsible for leading large-scale digital transformation & optimisation projects from discovery & planning through to implementation, adoption & benefits realisation. Project complexity may be determined by factors such as organisational impact, project value, duration, number of workstreams & system integrations.

The role requires excellent project management, stakeholder engagement & change management skills, with the ability to work collaboratively across professional groups & influence sustainable improvements in ways of working.

Based at Pinewood House, the role offers agile working, with a minimum of 2 office days per week. Travel to other Trust sites & external locations will be required in line with service & project requirements.

Main duties of the job

This is a key role within Digital Services, involving close collaboration with digital, operational and clinical colleagues across the Trust. The post holder will engage with a wide range of internal and external stakeholders to support the successful delivery and adoption of digital transformation programmes.

Key responsibilities will include:

  • Supporting the redesign and optimisation of clinical and operational systems, processes and ways of working.
  • Advising on the development and use of the Trust's clinical information systems.
  • Leading change management and user engagement activities to embed new technologies and working practices.
  • Developing project documentation, business cases, benefits realisation plans and governance papers for consideration through the Clinical Design Authority (CDA) and other Trust forums.
  • Researching and evaluating emerging digital technologies and identifying opportunities to improve patient care, staff experience and operational efficiency.
  • Supporting project delivery activities including implementation, testing, training and benefits monitoring.

Job responsibilities

Digital Transformation and optimisation

  • Lead the development and implementation of specific areas of the Digital Transformation programme.
  • Work with clinical and operational colleagues to identify opportunities to improve quality, productivity, patient care and staff experience through digital change.
  • Review existing clinical pathways, processes and working practices, and develop proposed future-state processes, supporting guidance and documentation.
  • Advise on the development and configuration of clinical information systems to support clinical practice, service management, reporting, business planning and benefits realisation.
  • Research emerging digital and assistive technologies and assess their potential application within Trust services.
  • Support project delivery and digital operations, including system testing, training and implementation activities.

Project Management & Implementation

  • Lead digital transformation projects from initiation to completion, including business case development, benefits realisation, and documentation.

  • Design, implement, and monitor change initiatives, proactively managing risks and resolving issues.

  • Ensure alignment with Trust governance and quality standards.

  • Manage third-party contributions including external partners such as Local Authorities and the Third Sector.

Stakeholder Engagement & Communication

  • Develop and deliver communication plans for projects, ensuring engagement from all relevant stakeholders.

  • Facilitate collaboration with clinical, managerial, and technical teams to support change adoption.

  • Deliver presentations and act as a key advisor on digital systems and transformation initiatives.

Data, reporting and benefits realisation

  • Work with directorate leads and relevant teams to review data quality, system use, validation reports and operational issues.
  • Analyse complex information and make recommendations based on an understanding of clinical systems, processes and service requirements.
  • Work with clinical user groups to develop and monitor data-input processes supporting statutory, local and ad hoc reporting requirements.
  • Collaborate with Data Services to develop reliable and meaningful benefits reports.
  • Undertake or support audits and surveys to establish baseline information and evaluate the impact of digital change.
  • Ensure that expected project benefits are identified, measured, monitored and reported.

Leadership & Team Management

  • Line manage and support staff within the Optimisation Team.

  • Provide leadership, training, and support to drive behavioural change and ensure project success.

  • Cover for the Optimisation Programme Lead when required.

Service Improvement & Digital Innovation

  • Work with directorate leads to optimise clinical pathways and improve service delivery using digital tools.

  • Collaborate with data and information teams to evaluate impact and develop meaningful benefits reporting.

  • Ensure digital systems are configured for optimal clinical use and reporting accuracy.

Person Specification

Education / Qualification

Essential
  • Degree or equivalent experience in a relevant field (e.g. Health Informatics, Digital Health, Project Management)
  • PRINCE2 Practitioner, Agile Project Management, MSP or equivalent project/programme management qualification, or equivalent practical experience
Desirable
  • Qualification in Lean, Six Sigma, Change Management, Quality Improvement or Benefits Realisation

Experience

Essential
  • Experience delivering digital transformation or service improvement projects
  • Experience facilitating process mapping, pathway redesign or change workshops with multidisciplinary teams
  • Experience engaging and influencing clinical, operational and managerial stakeholders
  • Experience producing project documentation including business cases, PIDs, benefits plans or governance papers
  • Experience monitoring project risks, issues, dependencies and benefits realisation
  • Experience using data and performance metrics to support service improvement and decision-making
  • Experience supervising, mentoring or line managing staff
