Operations & Systems Manager

We are seeking an Operations & Systems Manager to play a central role in enabling the business through strong operational ownership, systems optimisation, and technology enhancement.

The role:

The Operations & Systems Manager oversees day‐to‐day operational processes, ensuring that business‐critical systems, suppliers, and workplace operations run efficiently and effectively as the organisation continues to grow. Working closely with senior stakeholders across operations and IT services, the role focuses on improving workflows, strengthening core operational foundations, and ensuring that technology and workplace infrastructure remain secure, reliable, and scalable.

The role offers the opportunity to take hands‐on ownership of how the business operates, combining practical operational delivery with systems accountability, CRM ownership, and the considered adoption of AI and emerging technologies to support sustainable growth.

Key responsibilities:

  • Oversee and improve operational processes, driving efficiency through process redesign, automation, and technology enablement.
  • Own workplace IT infrastructure and act as the main point of contact for external IT providers and technical partners.
  • Manage onboarding and offboarding of systems access and equipment for office‐based and remote employees.
  • Act as operational owner for core business systems, including Pump CRM, ensuring data integrity, adoption, and continuous improvement.
  • Lead the adoption of AI and emerging technologies to streamline workflows and support operational scalability.
  • Oversee reporting, dashboards, and operational data (e.g. Power BI) to support data‐driven leadership decisions.
  • Support a safe, well‐organised, and productive workplace environment.

Experience:

  • Experience in an operations, business operations, or systems‐focused role, with exposure to end‐to‐end operational processes.
  • Strong organisational and coordination skills, with a practical, problem‐solving mindset.
  • Comfortable working with CRM platforms and Microsoft 365 / Dynamics, and coordinating with workplace systems and external suppliers as part of broader operational workflows.
  • Confident communicator, able to work effectively with senior stakeholders.
  • Willingness to travel occasionally to Germany and Philadelphia.
