Contract: 3-month Temporary Assignment

We are looking for an exceptional Personal Assistant to join the Digital Services team, providing high-level support to a Director within the senior leadership team. This is an opportunity to become a trusted partner, ensuring the smooth running of executive priorities while working at the heart of a dynamic and collaborative organisation.

About the Role
As Personal Assistant, you will provide comprehensive executive and administrative support to a Director within Digital Services. You will be responsible for managing complex diaries, coordinating meetings and events, preparing briefing materials, recording actions and minutes, and ensuring the Director is fully supported to focus on strategic priorities.
Working as part of a collaborative network of Personal Assistants, you will also share best practice, provide cover across the team when required, and contribute to delivering an outstanding support service across Digital Services.
No two days will be the same, making this an ideal role for someone who enjoys variety, problem-solving and building strong working relationships with senior stakeholders. Office attendance will be required as and when business demands, there is flexibility with start and finish times within core office hours (8am to 5pm).

Personal Assistant (PA) Duties:
- Managing a busy and complex executive diary, ensuring priorities are balanced and time is used effectively.
- Acting as a key point of contact for internal and external stakeholders.
- Coordinating meetings, workshops and events, both in person and online.
- Preparing agendas, briefing packs and supporting documentation.
- Taking accurate minutes, recording actions and ensuring timely follow-up.
- Organising travel, accommodation and executive expenses.
- Producing high-quality reports, presentations, spreadsheets and governance papers.
- Supporting onboarding and administrative processes for new team members.
- Working collaboratively with the wider Personal Assistant network to provide cover and continuously improve ways of working.
- Handling confidential information with professionalism, discretion and sound judgement.
We are looking for an experienced Personal Assistant or Executive Assistant to hit the ground running, who enjoys working in a busy environment supporting senior leaders.
Essential:
- Significant experience providing executive-level administrative support.
- Proven experience managing complex electronic diaries and multiple competing priorities.
- Outstanding organisational and time management skills.
- Excellent written and verbal communication skills.
- Confidence building relationships with stakeholders at all levels.
- Strong minute-taking and meeting coordination experience.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, Teams and Microsoft Copilot.
- Exceptional attention to detail and the ability to work accurately under pressure.
- A proactive approach with excellent judgement, initiative and problem-solving skills.
- A collaborative mindset and a commitment to delivering an outstanding service.
- Working within the Digital Services department, you will need to have an interest in AI and find it beneficial in the work you do.
- Experience managing budgets or processing expenses.
- Experience organising corporate events or workshops.
- A background in customer service or supporting large, complex organisations.
