Pivotal Partners finds the people who build the GTM engines for the best early-stage software companies on the planet. They're 35 people, three offices, growing fast, and recently won Best Start-Up Agency at the Global Recruiter Awards. Good momentum, and naturally, a lot of moving parts.

This isn't a diary-and-inbox job. It's an "operate at the centre of the chaos and make it look easy" role, supporting Harry, the Founder & CEO.

One day might involve booking a flight to San Fransciso and prepping briefing notes for a founder meeting. Another might be sorting the puppy, chasing a builder, and drafting an email to a VC. Business and personal blend together here, and that's by design rather than an inconvenience. If that sounds like a good challenge rather than a stressful one, read on.

The vibe: organised chaos, high trust, fast pace, global scope. The role is based in London, in-office most days, but the thinking spans time zones - London, Austin, San Francisco and there's some travel involved, occasionally at short notice and occasionally international. Not constant, but it happens, and the right person will be happy to go when needed.

What you'll actually do:

My time, protected. Own Harry's calendar properly - not just slotting things in, but deciding what earns a spot on it. Rearrange things when something better comes along. Make sure he's where he needs to be, with the right prep, on time.

The business, moving Triage his inbox and Slack. Pull together briefing notes ahead of big meetings - client mandates, VC catch-ups, board items. Keep relationships warm across clients, candidates, and the investor network - remembering who said what, what's outstanding, and what needs a nudge.

His life handled Personal admin, appointments, household logistics, the odd errand, and the dogs' schedule. lol. Whatever frees Harry up to focus on the business instead of the small stuff that eats a day.

Everything else, genuinely - whatever comes up. This job spec is a starting point, not a ceiling.

What you need

  • 2-7 years as an EA/PA, ideally supporting a founder or senior exec who moves quickly and changes plans often
  • The ability to run a complex calendar without dropping anything, and stay steady when it all changes at 6pm
  • Sharp written communication - you'll often be writing on Harry's behalf
  • Real discretion. You'll see into the business and into Harry's personal life, and both need to stay locked down
  • A "whatever it takes today" attitude - not a clock-watcher, but also not someone we want to burn out. It ebbs and flows
  • Comfort with ambiguity - plans shift, and you adapt without making it a thing
  • Willingness to travel occasionally, sometimes at short notice, sometimes abroad
  • A sense of humour. The team works hard and doesn't take itself too seriously
