Publications Coordinator (Part Time)

An exciting opportunity has arisen for a highly organised and proactive Publications, Training & Administration Coordinator to join a small, professional team on a part-time basis (approx' 3-4 days per week). This varied role combines office administration, training course coordination, publications, advertising and digital content management. You will provide comprehensive administrative support while helping to deliver professional training courses and high-quality print and digital publications. Working with members, delegates, advertisers, lecturers, suppliers and industry partners, you will play a key role in ensuring activities run smoothly while delivering an excellent and professional experience for stakeholders.

Duties & Responsibilities

  • Coordinate the production of print and digital publications, working with external designers, printers, mailing houses and other suppliers.
  • Manage editorial schedules, advertising bookings, content deadlines and contributions from members, PR agencies and industry partners.
  • Compile, proofread and check editorial content, images and advertisements, coordinating approvals and maintaining high standards of accuracy.
  • Support print and digital advertising sales, liaising with advertisers and coordinating invoicing with the accounts function.
  • Maintain and update website content, subscriber and circulation databases, digital publications and email distribution platforms.
  • Coordinate training course bookings, registrations, enquiries, delegate communications, online access, attendance records, course documentation and certification.
  • Organise lecturers, venues, travel and accommodation where required, and prepare course materials, delegate packs, feedback and post-course administration.
  • Provide day-to-day administrative support, including correspondence, reports, telephone and email enquiries, filing systems, databases and liaison with members, suppliers and industry stakeholders.

Education & Skills Required

  • Educated to A-level standard or equivalent, with relevant secretarial, administrative or communications qualifications advantageous; appropriate skills and previous experience will also be considered.
  • Proven general office administration experience, with excellent organisational, project-management and time-management skills and the ability to coordinate multiple workstreams.
  • Excellent written and verbal communication, interpersonal skills, grammar and spelling, combined with strong attention to detail.
  • Strong IT skills, including experience with Microsoft Office, database systems and content management systems (CMS).
  • A proactive, self-motivated approach with the ability to work effectively both independently and as part of a small team.
  • An interest in or previous experience of publications, marketing support, digital media or communications would be beneficial.
