Job summary
We are pleased to announce an exciting opportunity to join our IT Department as an Admin Assistant. This is a busy and varied role within the Practice, offering the chance to be part of a fastpaced team supporting essential digital and administrative services across the organisation.

Main duties of the job
Key Duties:
- IT systems - support ensuring data is accurately entered, maintained, and reported.
- Issue identification - helping to identify IT problems and reporting faults to the IT helpdesk where appropriate.
- Data administration - completing and maintaining spreadsheets relating to departmental work.
- Routine data entry - managing daytoday data processes including clinics, patient registrations, medical records, reports, and lab results.
- Problem escalation - advising the IT team of any datarelated issues that cannot be resolved independently.
- Record handling - preparing and sending patient records to external bodies when required.
- Training support - assisting the team in providing training to GPs, nurses, and administrative staff.
- New starter setup - setting up login details and ensuring new staff can access and navigate the desktop.
- Data security - ensuring all data is handled securely in line with GDPR and the Data Protection Act.

Job Summary:
To support the Practice and staff with the Practices IT systems, ensuring data is accurately entered, reported and up to date.
Job Responsibilities:
Practice databases
Help to identify and troubleshoot IT issues and where appropriate, report IT faults to the IT helpdesk
Complete and maintain necessary spreadsheets relating to works carried out within department.
Data entry
Responsible for the day to day entry and administration of data according to established routines e.g. clinics, patient registrations, medical records, reports and lab results.
Advise the IT team of any problems arising from data entry which are otherwise unresolvable.
Prepare and send patient records to external bodies, where required.
Training Support
Assist team in providing training support to GPs, Practice nurses and admin staff.
Setting up of new staff with logging on details and assist to ensure new staff know how to log on to the desktop and any applications they require.
Data protection
Ensure security of data in accordance with the General Data Protection Regulations (GDPR) and Data Protection Act
Other dutiesAny other duties commensurate with skills and responsibilities.

To ensure the safety and security of patient records or data by storing them in a lockable cabinet or cupboard when no longer required or at the end of your working day.
Health & Safety:
The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice Health & Safety Policy, the practice Health & Safety Manual, and the practice Infection Control policy and published procedures. This will include:
- Using personal security systems within the workplace according to Practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting of health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role
- Undertaking periodic infection control training (minimum annually)
- Reporting potential risks identified

Person Specification
Qualifications
- GCSE grade A to C in English and Maths
- Preferred Candidate should be:
- Computer literate, ideally with experience using clinical systems in a primary care setting (desirable but not essential).
- Able to work independently, accurately, and in a well organised manner.
- Possesses excellent communication skills, is a team player, and ideally has experience in general practice or a healthcare environment.
