Triage Administrator
Job summary
We are looking for a Triage Team Administrator to join the PCS Team, providing an innovative, professional, high-quality and efficient administration service to support the delivery of the Anima service.
Anima has been introduced to make accessing appointments and healthcare support easier and fairer for patients, providing an alternative to the traditional morning rush for appointments. Through the service, patients can submit requests for support at a time that is convenient for them, each request is reviewed and prioritised by a clinician according to medical urgency and individual need.
As a Triage Team Administrator, you will play an important role in supporting the smooth and effective operation of this service. You will provide operational and administrative support to help patients access appropriate healthcare and holistic support, supporting them throughout their practice journey and helping to ensure they are correctly navigated through the service.
This is a varied and patient-focused administrative role, suited to someone who is organised, proactive and confident communicating with a wide range of people. You will need to be able to work professionally and confidentially, use initiative to solve problems and contribute positively to a team delivering an important service to patients.
This role is 16 hours per week, based at North Darnall.
Main duties of the job
The role will involve coordinating administrative processes, including the registration of new patients through Anima, supporting patients and colleagues with the use of the system, and working closely with clinicians, reception teams and managers to ensure requests are managed effectively. You will also provide support within the hub and reception environment when required, helping to respond to patient queries and challenging situations and finding appropriate solutions.
You will work collaboratively with the Senior Practice Co-ordinator, Support Managers and Operations Manager, contributing to the continual improvement of processes and procedures and identifying opportunities to improve efficiency and promote agile ways of working. The role will also involve supporting training and development within the team, monitoring workloads and actions, and helping to promote effective communication and team working.

The day to day of the role:
- Provide operational and administrative support to the PCS Group Triage Team, assisting service users with access to appropriate healthcare and holistic support.
- Support patients throughout their practice journey by supporting with their registration and service journey.
- Develop your knowledge and experience of Anima and gain experience in a busy healthcare environment.
- Use your communication and problem-solving skills by responding to patient and colleague queries, helping to resolve issues and know when to seek support or escalate concerns.
- Gain experience working with a range of stakeholders, including patients, clinicians, GP practices, managers and administrative colleagues, using telephone, email and face-to-face communication.
- Manage and coordinate IT-related issues within the hub, reporting faults and liaising with IT support, clinicians and managers to support an effective service.
- Provide reception support when required, working with patients and the wider team to respond to challenging situations and identify appropriate solutions.
- Review, prioritise and redistribute work where appropriate, monitoring work lists and delegated tasks to ensure activities are completed in a timely manner.
- Monitor progress and follow up on identified actions arising from meetings and delegated duties, escalating or directing specific issues to the appropriate members of the wider PCS team.
- You will develop team-working skills, working alongside administration, facilities, reception and clinical colleagues and gain experience by sharing best practice.
- Have the opportunity to develop your knowledge and confidence in administrative processes, identifying opportunities to improve ways of working, support problem solving and contribute ideas to make the service more efficient.
- Gain experience in providing professional and confidential administrative support, including supporting meetings, preparing notes and action points, communicating with a range of stakeholders, and developing your ability to work with information and analysis.
