Office and IT Manager

Role Purpose:
Lead and oversee business support operations, including IT strategy, facilities management, governance, and climate initiatives, ensuring the organisation receives efficient, compliant, and forward‑thinking support. Provide line management to the Business Support Administrator, who contributes to the delivery of these functions.
Key Duties & Responsibilities:
IT Responsibilities
- Manage the relationship with the third‑party IT provider, overseeing the IT roadmap and annual technology refresh cycles.
- Ensure compliance with IT security standards, including Cyber Essentials, Intune, and Sharp security initiatives.
- Schedule, coordinate, and document annual disaster recovery testing and penetration testing activities.
- Lead the development, maintenance, and delivery of the organisation’s IT strategy and annual roadmap.
- Serve as Chair of the Technology Committee, leading quarterly meetings and securing Executive Committee approval for the annual roadmap and budget.
- Maintain an up‑to‑date IT asset register and oversee WEEE collections and approved charity donations.
- Deliver IT and phone system inductions for new starters, ensuring all equipment is correctly set up.
Corporate Social Responsibility (CSR)
- Act as Secretary for the Climate Collective, leading internal sustainability projects and managing annual carbon footprint calculations.
- Oversee the completion and submission of EcoVadis and CDP annual questionnaire renewals.
Office & Facilities Management
- Manage day‑to‑day office facilities, coordinating repairs, maintenance, and landlord communications.
- Oversee branded stationery, office supplies, goodie bags, and associated budgets.
- Conduct monthly budget reviews for all business support expenditure.
- Coordinate the annual Christmas hamper initiative in partnership with the CEO.
- Provide line management and ongoing support to the Business Support Administrator.
Bids & Proposals
- Support customer RFPs, bids, and proposals by completing IT/security and climate‑related sections.
- Maintain registrations and documentation across relevant industry bid portals.
Governance
- Provide secretarial support for governance meetings, including preparation of documentation and meeting minutes.
- Manage room bookings and logistical arrangements for all governance meetings.
- Review and update business support policies; assist with annual insurance renewals.
- Share weekly business support updates via One Voice and WhatsApp.
- Support the annual budgeting cycle.
- Fulfil Company Secretarial responsibilities alongside Emma‑Jayne.
- Maintain and coordinate the annual Governance calendar.
- Serve as a qualified Company First Aider and ensure ongoing certification.

- Proven experience in a similar role (minimum 8 years)
