Payroll/Payments Administrator

We are seeking an Payroll/Payments Administrator to support our payments operations during the implementation of a new IT system. This is a key role in ensuring the accurate and efficient processing of international invoices and timesheets, facilitating timely payments and providing exceptional customer service to our contracts and clients. As part of the wider finance team, you will play an integral part in ensuring a smooth transition to the new system, supporting process improvements, and maintaining high levels of accuracy and service.

Start date is as soon as possible, and this is an excellent opportunity for someone eager to take on a pivotal role in a dynamic environment.

Key Responsibilities:

  • Data Entry & Record-Keeping: Perform intensive and accurate data entry of timesheets and invoices, collating, copying, and recording information into internal systems.
  • Invoice Processing: Cross-check invoices and expenses, ensuring accurate input into various internal systems.
  • Payment Approvals: Obtain necessary payment approvals and manage communication around invoice processing.
  • Internal & External Liaison: Act as a liaison with internal departments and external stakeholders to resolve invoice and payment queries, ensuring smooth operations.
  • System Integration & Testing: Support the integration and testing of a new IT system. Flag issues, contribute to process improvements, and help ensure the system meets operational needs.
  • Administrative Support: Assist with other ad-hoc administrative duties to support the team and the wider organization.

Person Specification:

  • Experience: Minimum 2 years of experience in a similar role, particularly in data entry, invoicing, or international payments. Experience with PAYE and IR35.
  • Communication Skills: Excellent written and verbal communication skills with the ability to build relationships with internal teams and external stakeholders.
  • IT Skills: Computer literate with proficiency in Microsoft Office (Excel, Word, etc.). Confidence in using and learning new in-house systems and databases.
  • Attention to Detail: Strong commitment to accuracy, with excellent attention to detail in all tasks.
  • Organizational Skills: A high level of organisation with the ability to multitask and prioritise effectively in a fast-paced environment.
  • Problem Solving: Innovative and proactive with the ability to identify areas for improvement and resolve issues efficiently.
  • Team Player: Collaborative, with a friendly and adaptable approach to working as part of a team.
  • Time Management: Excellent planning and organisational skills, with the ability to meet deadlines and manage workload independently.
  • Work Ethic: Self-motivated, eager to learn, and hardworking with a flexible approach to working hours and tasks.
