Digital Support Apprentice

The Wards Medical Practice are looking to expand their Medical Digital Team by recruiting a Digital Applications Support Apprentice! This apprentice will work towards an SCQF Level 6 Qualification based in their Kilmarnock Practice. 

Responsibilities:

  • Digital systems support: Provide day-to-day operational support for core clinical systems including EMIS PCS, Microtech Docman, eConsult, Patient Access, and Microsoft Office (Outlook, Word, Excel), ensuring systems are used accurately, efficiently, and in line with practice procedures.
  • Appointment, workflow & eConsult management: Support the digital appointment and triage process by managing bookings, processing eConsult requests, updating clinics on EMIS PCS, and directing patients to the most appropriate healthcare professional or service using digital systems.
  • Electronic records & data quality management: Accurately enter, code, scan, and back-scan clinical and other documents into EMIS PCS and Docman, supporting good data quality, effective audits, and safe information governance.
  • User support & digital communication: Act as a first point of contact for system-enabled patient and staff queries, providing assistance in person, by telephone, and via Outlook email, while maintaining confidentiality and demonstrating excellent digital customer service skills.
  • Prescriptions, results & digital requests processing: Process electronic prescription requests, test result queries, and GP/Nurse-led patient contact actions using EMIS PCS, ensuring correct workflow routing and timely follow-up.
  • IT, data protection & information governance compliance: Follow and support practice policies on IT use, data protection, and confidentiality across all systems, including intranet and internet use, and escalate issues to senior staff where needed.
  • Continuous improvement, training & digital development: Participate in audits, data collection, team meetings, system training, and service improvement activities, contributing to the development and refinement of digital processes that enhance patient care and operational efficiency.

Salary: £21,000 per annum.

Working hours: Monday to Friday, 9am – 5:30pm.
