Apprentice Business Administration and Operations Level 3
You'll work towards the nationally recognised apprenticeship standard, gaining experience across office administration, order processing, invoicing and the practical side of getting orders out the door. You'll be trusted with real responsibility, supported every step of the way by the team and your training provider.
Role
As your training progresses, you'll build skills and take on increasing responsibility across three areas of the business:
General administration
- Being a first point of contact for the business — answering calls, emails and general enquiries, and learning to direct them appropriately.
- Supporting diary management, meeting scheduling, and coordination of internal and external appointments.
- Learning to maintain accurate filing systems (physical and digital), keeping records organised and easy to find.
- Drafting and formatting correspondence, letters, reports and documents, with feedback and support to build your confidence.
Providing general administrative support to the Managers and wider team. - Helping to monitor office supplies and liaise with suppliers.
- Supporting the coordination of meetings and events — preparing agendas, taking minutes, organising logistics.
- Learning how our ISO 9001 quality management system works and helping keep compliance records up to date.
- Handling sensitive and confidential information appropriately, in line with GDPR and company policy
Order processing, ERP and invoicing:
- Learning to sign in and process supplier and purchase orders on our Odoo ERP system.
- Learning to match purchase orders, delivery notes and supplier invoices, and how to flag discrepancies.
- Building up order records on the ERP system and tracking orders from receipt through to fulfilment and invoicing.
- Gaining exposure to basic stock and inventory record-keeping.
Order preparation, packing and shipping:
- Learning to prepare customer orders for dispatch — picking, packing and labelling correctly.
- Learning how to book shipments with couriers/freight providers, including the paperwork involved.
- Helping track outbound shipments and learning how to resolve delivery issues.
- Learning best practice for packing sensitive electronic components safely for transit.
- Keeping despatch records on the ERP system up to date as you gain confidence.
Training
Become a vital member of our team, possible routes to specialising in procurement or routes into Office Manager depending on skills and ambitions. Depends on person’s strengths and preferences.
