IT Software Systems Procurement Analyst / Manager CAFM

My large, well established London-based property management company is embarking on a major digital transformation programme. As part of this, they are undertaking the procurement and implementation of a new CAFM (Computer-Aided Facilities Management) system to support their expanding operational portfolio.

I am urgently an experienced IT Software Systems Procurement Analyst / Manager to lead the end-to-end selection process-including a structured RFI and RFP process-to ensure they choose a solution that is scalable, cost-effective, and aligned with our operational goals.

The chosen Candidate will own the complete procurement lifecycle for their new CAFM system, with a strong focus on managing a thorough RFI and RFP process. Working across the business, you will gather requirements, research the market, run competitive tendering, evaluate vendor responses, coordinate demos, and support final selection and negotiation.

• Lead and manage a structured RFI and RFP process for CAFM system procurement.

• Run stakeholder workshops to gather granular business, operational, and technical requirements.

• Document current and future-state workflows, data structures, and integration needs.

• Build comprehensive RFI documentation to explore market capabilities and narrow down suitable vendors.

• Develop detailed RFP packs, evaluation criteria, scoring frameworks, and response templates.

• Analyse vendor submissions for technical fit, functionality, pricing, compliance, UX, and scalability.

• Coordinate demos, technical deep dives, proofs of concept, and Q&A sessions with shortlisted vendors.

• Provide structured comparisons and recommendations to senior leadership.

• Support contract and commercial negotiations with the preferred supplier.

• Produce key artefacts including business cases, requirements docs, scoring matrices, and transition plans.

• Advise on implementation approach, risks, and change-management considerations.
