Safeguarding Administrator - Temporary - Immediate 7.30am - 3.30pm Monday to Friday
We are seeking a dedicated Safeguarding and Pupil Records Coordinator for an immediate temporary position that will last until the end of December. This role is based in a reputable educational institution in Hampton, London. The position is crucial for maintaining the safety and accuracy of pupil records and safeguarding processes, and involves extensive communication with stakeholders and administrative support.
Day-to-day of the role:

Safeguarding Responsibilities:
- Monitor and filter safeguarding alerts generated by pupils, liaising closely with the Safeguarding Team.
- Assist with the administration of CPOMs and maintain accurate safeguarding records in compliance with statutory guidance, including Keeping Children Safe in Education.
- Administer the annual safeguarding audit and follow up on the transfer of safeguarding files from feeder schools.

Pupil Registration and Records:
- Manage pupil registration and records, including processing absence emails, updating the SIMS system, and communicating with relevant staff about pupil absences and late arrivals.
- Ensure the calendar of future appointments for pupils is up-to-date to prevent unnecessary communication with parents.
- Conduct daily follow-ups on absences and missing pupils, run absence reports, and prepare necessary communications to ensure all pupil attendance issues are addressed promptly.

Communication with Stakeholders:
- Deal sensitively with parents, other schools, prospective parents, and the general public on a wide variety of topics, either in person, online, or over the phone.

Administrative Support:
- Provide administrative support for co-curricular activities, special projects, school trips, parent evenings, and general school events.
- Collaborate with colleagues across the school, including SLT and the safeguarding team, on diary planning, organising and scheduling meetings, rotas, activities, seminars, detentions, and events.
- Maintain accurate and up-to-date records and files, produce and proofread key documents, and update the school website as necessary.
Required Skills & Qualifications:
- A commitment to the Safeguarding and wellbeing of pupils.
- Educated to A-Level (or equivalent) with GCSE qualifications in English and Mathematics.
- Previous administrative/secretarial experience in a busy office environment.
- Excellent IT knowledge including Outlook, Word, Excel, PowerPoint, MS Teams (or equivalent).
- Outstanding customer care skills and the ability to employ a diplomatic approach when dealing with difficult/sensitive situations.
- Excellent organisational, administrative, and minute-taking skills.
- High level of emotional intelligence, integrity, and a sense of humour.
- Proactive, flexible, and self-motivated with outstanding attention to detail.
- Excellent interpersonal, oral, and written communication skills.
- Ability to multi-task and manage multiple tasks and deadlines effectively.
