Contracts Operations Assistant

We are seeking a dedicated Contracts Operations Assistant to join our Charity on a contract basis. This role is crucial for managing our document and contract administration efficiently. The successful candidate will assist with the implementation of new technology solutions, support data migration projects, and provide administrative support related to contracts. This position requires a proactive individual who can manage multiple tasks and maintain high standards of data accuracy and process efficiency in a fast-paced environment.

Day-to-Day of the Role:

  • Data & System Administration: Assist with the implementation of new tech solutions such as DMS and CLM. Support data migration, integration, and clean-up projects. Conduct regular audits and validation checks to maintain high-quality contract data. Train and onboard team members on new systems.
  • Contract Administration: Provide administrative support to the Legal Team for daily contract management. Assist with the intake and triage of contract requests, ensuring efficient routing and prioritisation. Format, coordinate execution, and maintain organised records of contracts. Support the creation and maintenance of legal templates and a knowledge repository for contract clauses.
  • Contract Capture & Data Entry: Accurately capture contract details and metadata into systems. Maintain consistency and completeness of contract records, ensuring data accuracy across systems. Generate reports and summaries for internal use.

Required Skills & Qualifications:

  • Experience in contract administration, data administration, or a similar role.
  • Proficient in using Document Management Systems and Contract Lifecycle Management systems.
  • Diploma/Certificate in Administration, Paralegal training, or a related field.
  • Familiarity with contract management systems like Intapp, iManage, DocuSign, etc.
  • Proficiency in Microsoft Office Suite and data tools (Excel, SharePoint, Power BI).
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Analytical mindset focused on data accuracy and process efficiency.
  • Strong attention to detail and organisational skills.
  • Excellent communication and stakeholder management skills.
