Job Description – Data Officer

Lines of Reporting The Data Officer will be supported by and report into the Head of IT Services and the Bursar. Hours and Salary Part-time, 21hours per week (Flexibility to be discussed at interview - could be all year round or a minimum of Term Time + 4 weeks) FTE £35,000.

Core Responsibilities

Management of MIS and Related Systems

  • Manage the school’s MIS system, including applying updates, troubleshooting issues, and ensuring smooth day-to-day operation.
  • Provide technical support for the MIS and other systems, assisting staff with queries and ensuring data accuracy.
  • Complete the annual MIS and associated systems rollover in preparation for the new academic year.
  • Maintain assessment report templates and distribute academic reports to parents via email and online platforms.
  • Develop and maintain bespoke reporting within the MIS to meet specific school requirements.
  • Support the import, creation and maintenance of timetable entries within the MIS, ensuring correct integration and accuracy.
  • Support third-party systems that integrate with the MIS, including preparing data for platforms such as ClassCharts, Unifrog, Kerboodle, parents' evening systems, Finance and other related tools.
  • Provide staff training on the effective use of the MIS, promoting full utilisation of available modules.
  • Support co-curricular processes to ensure club information and registers are accessible to staff, parents and students.
  • Support the Prep School with Parent Evening bookings.
  • Conduct MIS data audits to ensure accuracy, consistency and reliability of business-critical information.
  • Enhance the parental portal by updating content and improving usability.
  • Oversee the assessment process, including uploading results to the MIS.

Additional Responsibilities

  • Support the Bursary and Office Supervisor with the production of annual census data.
  • Assist the Bursary with staff and pupil data requirements.
  • Support the HR Manager with staff data and run relevant HR reports.
  • Assist the Admissions team with data related to prospective pupils.
  • Support the Health Centre by providing reports relating to medical and health-and-safety information.
