EA support & Digital productivity specialist

(0.6 FTE, 12-Month Fixed-Term Contract) Salary DOE

This is a newly created role designed to strengthen the Executive Assistant function during a period of reduced team capacity. This position focuses on enhancing the capability, efficiency, and digital maturity of the EA team—particularly through smarter use of Microsoft 365, Microsoft Teams, and Copilot.

My client is seeking an individual with a strong administrative foundation, combined with a forward-thinking, solution-oriented mindset. What matters most is their ability to blend operational support with digital enablement and process improvement.

Purpose of the Role

The candidate will work closely with the Senior EA to review, streamline, and modernise EA workflows. They will help design and implement improved ways of working, embed more effective use of Microsoft 365 tools, and support the EA team to build sustainable digital skills—not create dependency on a single individual.

A core focus will be re-engineering meeting administration and information management, ensuring that Teams, M365, and Copilot are fully leveraged to reduce manual effort and improve accuracy, transparency, and collaboration.

Key Responsibilities

  • Partner with the Senior EA to analyse workloads, processes, and pain points, identifying opportunities for smarter technology-enabled working.
  • Support the setup, optimisation, and ongoing use of Microsoft Teams and Copilot
  • Improve processes for key governance meetings (e.g., SMT, trustees)
  • Provide hands-on support to embed new systems and ensure the EA team fully understands improvements made.
  • Assist with general administrative and coordination tasks as needed 

Essential Skills & Experience

The successful candidate must demonstrate:

  • Strong administrative and organisational abilities, with an understanding of supporting senior leadership teams.
  • Advanced capability in Microsoft Teams—beyond day-to-day use—including meeting optimisation, recordings, collaboration features, and output management.
  • High proficiency across Microsoft 365, with the ability to integrate tools and build connected workflows.
  • Hands-on experience using Microsoft Copilot in real, practical scenarios.
  • A track record of improving systems or processes, not simply operating within existing ones.
  • Excellent communication skills, including the ability to explain digital concepts in clear, accessible terms.
  • Project and coordination experience, with the ability to identify inefficiencies and help implement improvements.

Desirable Experience

Not essential but beneficial:

  • Experience supporting or delivering digital transformation or business change initiatives.
  • Training or coaching others in new tools or ways of working.
  • Knowledge management systems or methodologies.
  • Experience creating performance reports, dashboards, or similar outputs.
