We are seeking an Office Manager to manage our Northampton office and provide wider business support. This part-time role involves managing the office for one day per week and supporting various business functions for an additional day each week. The successful candidate will play a central role in ensuring the smooth running of the office, supporting client projects, coordinating marketing activities, maintaining systems and compliance processes, and helping deliver a high-quality client experience.
Day-to-day of the role:
- Manage day-to-day office administration and act as the primary point of contact for visitors and callers.
- Support Directors, Partners, and Associates in their daily tasks and ensure consistency of processes across offices.
- Identify and implement efficiency improvements and support company-wide projects and initiatives.
- Maintain a professional and client-focused office environment.
- Coordinate outreach to potential buyers and sellers, prepare and distribute confidentiality agreements, and proofread Information Memoranda and Sales Memoranda.
- Apply document watermarking, produce client presentations, and support quarterly team meetings and monthly WIP meetings.
- Manage press releases, website updates, and support biannual marketing campaigns and ad hoc marketing and communications projects.
- Liaise with external IT providers, coordinate hardware ordering and setup, and administer and maintain OpenCRM.
- Ensure Terms of Engagement are completed and stored appropriately and monitor Anti-Money Laundering compliance processes.
- Coordinate maintenance and repairs to ensure the office remains clean, organised, and professional.
Required Skills & Qualifications:
- Previous office management or business support experience.
- Strong organisational and administrative skills with excellent written English and proofreading ability.
- Experience preparing professional documents and presentations.
- Strong attention to detail and confidence working with CRM systems and databases.
- Marketing and communications experience.
- Ability to manage multiple priorities independently.
- Strong interpersonal and stakeholder-management skills.
- Strong IT literacy, particularly in Microsoft Office applications (Word, PowerPoint, Excel).
- A proactive, solutions-focused approach.
