A respected charity based in Sheffield’s S10 area is seeking an Operations Assistant to support the Operations Manager in delivering and maintaining effective operational functions. This includes Health & Safety, Premises, Facilities, Vehicle Management, and IT Services. The role offers a valuable opportunity for someone keen to develop their skills in operations, risk management, and policy writing, while contributing to a meaningful cause.
Day-to-Day of the Role:
- Act as the first point of contact for premises, facilities, IT, and Estates issues across all locations.
- Assist in maintaining a secure and organised environment for colleagues, volunteers, and visitors.
- Support the delivery of the Annual Operations Plan and provide administrative support, including minute-taking in operations-related working groups.
- Update operational policies and procedures and, following relevant training, act as the organisation’s Data Protection Officer (DPO) to promote a strong GDPR culture.
- Coordinate vehicle fleet maintenance schedules and provide breakdown response support.
- Manage charity space and assets, liaising with contractors and relevant parties as required.
- Oversee the operations shared email inbox and act as a designated keyholder for opening and closing procedures.
- Serve as the first point of contact for all Health & Safety matters, ensuring accurate recording and reporting.
- Assist in the procurement, delivery, and recording of mandatory staff training needs and help establish safe working practices and policies.
Required Skills & Qualifications:
- Excellent communication skills, both written and oral.
- Ability to manage own workload and prioritise to meet deadlines.
- Experience in providing operational support in a similar role is preferred.
- Knowledge of GDPR, Health & Safety regulations, and basic risk assessment capabilities.
- Proficiency in using operational software and systems, with a willingness to learn new technologies.
- Team player with a 'can do' attitude, able to liaise professionally with staff and external contacts.
