We are seeking an Operations Administrator to join our team. This role involves assisting the Operations Supervisor and Director in maintaining company accreditations, managing day-to-day tasks, and providing direct support to enhance operational efficiency. The ideal candidate will be adept at managing multiple projects, ensuring compliance with various standards, and contributing to the overall smooth running of operations.
Day-to-day of the role:
- Assist in maintaining all company accreditations and manage audits (BSI Quality, Environmental, H&S, Cyber Essentials, IT Service Management, NQA Information Security Management, Achilles, company H&S processes, etc.).
- Conduct random checks to ensure adherence to standard operating procedures and investigate any quality issues.
- Manage ISO reports related to Carbon Footprint and Business Continuity.
- Perform monthly H&S inspections and complete ad-hoc customer and supplier questionnaires.
- Ensure all documents are properly archived on the server (e.g., insurance certificates, training certificates, property management records).
- Maintain the COSHH register and ensure compliance.
- Oversee property maintenance, including obtaining quotes and ensuring all aspects of the property are maintained.
- Handle new starter/leaver processes, process leave requests, and assist with general telephone enquiries.
- Support the Operations Supervisor with IT-related issues and maintain essential operational databases and systems.
- Assist the Operations Director/Supervisor with projects and support the Purchasing team as needed.
Required Skills & Qualifications:
- Good standard of education with strong written and numeric skills.
- Proven ability to work effectively both independently and as part of a team.
- Excellent knowledge of Microsoft Word, Excel, and Outlook.
- Experience with ISO/NQA accreditations is desirable.
- Strong organizational skills with the ability to manage multiple projects and priorities.
- Excellent communication, negotiation, and interpersonal skills.
- High level of accuracy and attention to detail.
