ABOUT THE ROLE
RESPONSIBILITIES
Systems Support & Maintenance
- Provide day-to-day technical and systems support for internal teams while progressively taking ownership of small-scale system improvement projects.
- Assist with maintaining and updating company systems, including (but not limited to):
- ApparelMagic (inventory & product lifecycle management)
- Xero, ApprovalMax, XeroMe (financial systems)
- OneDrive/SharePoint (file management & collaboration)
- Lattice (HRIS)
- Microsoft 365 suite (Teams, Outlook, and related tools)
- Freshservice (ITSM)
- Support the integration and optimisation of tools to ensure smooth operations across departments.
- Monitor system performance, identify areas for improvement, and support planned rollouts or upgrades.
IT Equipment & Access Management
- Manage the IT equipment process for new joiners and leavers, including setup, configuration, and collection.
- Maintain accurate records of company hardware, software licences, and user accounts.
- Ensure timely access provisioning and deactivation across all systems and devices.
- Liaise with suppliers and service providers for equipment procurement, repairs, or replacements.
Data, Reporting & Insights
- Maintain data accuracy and integrity across all business systems.
- Support the creation and automation of reports and dashboards (Power BI, Excel) to provide insights into sales, inventory, and operational performance.
- Assist with data extraction, transformation, and maintenance to improve decision-making and process efficiency.
- Work on service requests related to data management and reporting as part of ongoing business support.
User Support & Training
- Serve as the first point of contact for system and IT queries across departments.
- Provide user training and guidance on system usage, IT best practices, and new tool rollouts.
- Create and maintain user guides, FAQs, and documentation for common issues and processes.
System & Process Improvement
- Collaborate with the AI, Data & Systems Manager on system rollouts, workflow reviews, and automation projects.
- Contribute to improving internal system usability, process efficiency, and data consistency.
- Participate in project planning, testing, and implementation phases for new systems and integrations.
- Work with external partners and vendors on integrations, troubleshooting, and system upgrades.
ABOUT YOU

ESSENTIALS
- 2–4 years’ experience in IT support, systems administration, or technical operations.
- Looking to progress your career from day-to-day IT support into project delivery, data reporting, and systems management.
- Strong working knowledge of Microsoft 365 (Teams, SharePoint, OneDrive, Outlook, Excel).
- Skilled in troubleshooting technical issues and coordinating with external vendors.
- Comfortable handling data and using tools like Excel or Power BI for basic analysis and reporting.
- Strong organisational and problem-solving skills with high attention to detail.
- Proactive communicator with a collaborative, service-oriented approach.
DESIRABLES
- ITIL Foundation certification (or working knowledge of ITIL principles).
- Experience with automation, integrations, or process improvement projects.
- Exposure to tools such as Power Automate, Power Apps, or SQL.
