Business Analyst - Case Management Systems

Overview:

We are seeking a highly skilled and detail-oriented Business Analyst with deep expertise in the implementation and optimization of Sharedo case management systems within a legal practice environment. This role is instrumental in transforming our legal operations by leveraging technology to streamline workflows, enhance productivity, and improve client service delivery.

Key Responsibilities:
  • Lead the end-to-end analysis, planning, and implementation of Sharedo case management solutions within the firm.

  • Collaborate closely with stakeholders including legal teams, IT, operations, and third-party vendors to gather and define business requirements.

  • Conduct workshops, interviews, and gap analyses to understand current workflows and design future-state processes.

  • Translate legal and business requirements into functional specifications and user stories for configuration within Sharedo.

  • Support data migration planning and execution, including mapping, cleansing, and validation of legacy system data.

  • Work with the Sharedo implementation team to configure and test system features, workflows, and integrations.

  • Develop training materials and support the change management process to ensure smooth adoption by end-users.

  • Act as a liaison between business units and the technical implementation team to ensure alignment and clarity throughout the project lifecycle.

  • Conduct UAT (User Acceptance Testing) planning and coordination, ensuring quality and functional integrity of the delivered solution.

  • Provide ongoing post-implementation support, enhancements, and continuous improvement recommendations.

Required Skills and Qualifications:
  • Proven experience as a Business Analyst in legal or professional services, with direct involvement in Sharedo implementation or similar case management systems (e.g., iManage, Peppermint, Proclaim).

  • Strong understanding of legal practice workflows, compliance requirements, and client service models.

  • Excellent communication and stakeholder engagement skills, including the ability to translate complex requirements into clear documentation.

  • Solid grasp of business process modelling (e.g., BPMN), agile/scrum methodologies, and system lifecycle principles.

  • Experience working with data migration, system integration, and digital transformation initiatives.

  • Strong analytical mindset with a high attention to detail and problem-solving capability.

Desirable:
  • Certifications in Business Analysis (e.g., CBAP, CCBA, BCS).

  • Experience with change management, user training, and post-implementation support.

  • Familiarity with legal billing, matter lifecycle, or document management systems.
