Team Assistant (Financial Services)

The Role

Working closely with senior executives, you will play a key role in delivering high-quality administrative and organisational support. You will be responsible for coordinating complex schedules, facilitating communication across the business, and ensuring executives are fully prepared for meetings, events, and business travel.

This position requires exceptional attention to detail, discretion when handling confidential information, and the ability to operate effectively in a dynamic and demanding environment.

Key Responsibilities
  • Manage complex and frequently changing diaries for several senior executives, ensuring priorities are effectively coordinated.
  • Organise internal and external meetings, including scheduling, room bookings, agenda preparation, and distribution of supporting materials.
  • Prepare and coordinate presentations, reports, board papers, and committee documentation.
  • Arrange domestic and international travel, including flights, accommodation, transport, and visa requirements where applicable.
  • Process and monitor expenses, leave requests, and other administrative workflows for senior stakeholders.
  • Act as a key liaison between executives, business teams, external partners, and visitors.
  • Coordinate visits from internal and external stakeholders, ensuring a professional and seamless experience.
  • Draft and distribute high-quality communications, correspondence, and executive updates.
  • Maintain confidentiality while handling sensitive business information and senior-level enquiries.
  • Support departmental events, leadership meetings, and business functions as required.
  • Assist with on boarding and administrative setup for new senior team members.
  • Provide broader operational and administrative support across the department as needed.
About You

You'll be a confident and professional administrator with a track record of supporting senior stakeholders in a corporate environment. You will thrive in a role where organisation, initiative, and relationship management are critical to success.

Essential Experience
  • Minimum 3 year's experience in a Team Assistant, or comparable administrative support role.
  • Experience supporting multiple senior leaders simultaneously.
  • Proven ability to work effectively in a fast-paced corporate environment.
  • Strong experience interacting with senior managers and executive-level stakeholders.
  • Advanced Microsoft Office skills, including Outlook, Word, PowerPoint, and Excel.
  • Degree educated or equivalent professional experience.
Desirable Experience
  • Experience within financial services, banking, professional services, technology, or a similarly regulated corporate environment.
