Trainee Practice Supervisor
Job summary
The post holder will be expected to help develop, organise and manage the day-to-day workload of our busy Admin/Reception team.
This is a hands-on role to support all activities within the Admin/Reception team, & therefore the post holder would be expected to learn each task within the relevant department.
The trainee will work under the supervision of other senior members of the practice team to acquire all essential knowledge to become a future team leader. The trainee will rotate between different departments (administration, reception, and care coordination) enabling them to learn all practice functions, policies and staff duties. They will contribute to all aspects of the practice, strategic planning and help evaluate employee and department performance.
This is a developing role within the Practice and the post holder will be expected to be flexible and meet the changing needs of the Practice.
Main duties of the job
Key responsibilities
Help managers and other senior team members complete daily tasks.
Understand each departments daily processes and goals and assist with these daily activities.
Provide administrative support to senior members of the team.
Assist with HR duties, including staff appraisal and recruitment.
Help develop and shape the departments through audit and evaluation.
Communicate effectively with all staff members.

Key Tasks
The post holder will be expected to help develop, organise and manage the day-to-day workload of our busy Admin/Reception team.
This is a hands-on role to support all activities within the Admin/Reception team, and therefore the post holder would be expected to learn each task within the relevant department.
They may be responsible for assigning tasks, supporting and mentoring staff, monitoring performance and accuracy, dealing with queries and reporting to the IT & Data Manager/Assistant Practice Manager with any concerns.
They will be responsible for implementing agreed practice policies, ensuring processes are completed correctly and efficiently.
Record and collate information according to agreed protocols and contribute to evaluation reports required for the monitoring and quality improvement of the service.
Identify opportunities and gaps in the service and provide feedback to continually improve the service and contribute to business planning.
Adhere to organisational policies and procedures, including confidentiality, safeguarding, lone working, information governance, equality, diversity and inclusion training and health and safety.
Establish strong working relationships with GPs and practice teams and work collaboratively across each department.
Demonstrate a flexible attitude and be prepared to carry out other duties as may be reasonably required from time to time within the general character of the post or the level of responsibility of the role, ensuring that work is delivered in a timely and effective manner.
Contribute to the wider aims and objectives of the PCN to improve and support primary care.
Undertake continual personal and professional development, taking an active part in reviewing and developing the role and responsibilities, and provide evidence of learning activity as required.
Person Specification
Experience
- Knowledge/experience of clinical medical systems.
- Knowledge/experience of Microsoft 365.
- Experience of communication with patients and vulnerable individuals.
- Good organisational skills and methodical approach to managing a workload.
- Calm and supportive approach to assisting patients or their carers navigate health and social care as needed.
- Ability to identify risk and assess / manage risk.
- Have a strong awareness and understanding of when it is appropriate or necessary to refer people to other health professionals/agencies.
- Ability to maintain effective working relationships and to promote collaborative practice with all colleagues
- Ability to demonstrate personal accountability, emotional resilience and work well under pressure.
- Ability to actively listen, empathise with people and provide personalised support in a non-judgemental way.
- Ability to provide a culturally sensitive service supporting people from all backgrounds and communities, respecting lifestyles and diversity.
- Knowledge/ experience of SystmOne.
- Experience of working in the NHS and preferably General Practice.
- Experience of supervising and supporting a team.
- Understanding of Primary Care Services
- Understanding of the wider determinants of health, including social, economic and environmental factors and their impact on communities, individuals, their families and carers.
- A good level of knowledge and understanding of medical terminology.
- Knowledge of confidentiality in the workplace/information governance.
- Able to work across organisations and with a wide range of Health Care Professionals.
Qualifications
- Good standard of education with 5 C/GCSEs or equivalent
- Evidence of continuing professional development
