Senior Administrator
Job summary
An opportunity has arisen for an organised motivated an proactive Administrator who will be aligned to the Doncaster Mental health and Learning Disability Care Group. Providing a senior comprehensive administrative and support to the Specialist Services Unit which consists of the following services: Primary care mental health; Perinatal Mental Health; Early Intervention and Psychosis and Community Health and Well Being Services.
They willliaise with the Administration Lead to ensure that high standards of data quality are achieved and maintained as well as ensure Clinical Practitioners are proactively supported with service delivery.
Main duties of the job
To communicate effectively, accurately and professionally, applying discretion and empathy where necessary, with written, telephone and face to face contact, with patients, service users, visitors, other Trust staff and external agencies.
Provide and receive routine information to work colleagues and clients. Exchange information with clients requiring tact and diplomacy.
Maintain quality in own work and encourage others to do so whilst working as an effective and responsible senior team member..
Deal with any day-to-day problems that arise within the admin team such as staffing issues, technological issues ensuring effective resolution and continuity of services.
To ensure appropriate records storage and archiving is carried out in a confidential and timely manner.
Monitoring of the service email inboxes, ensuring actions and responses are completed in a timely manner.
To maintain a high level of integrity and confidentiality in respect of all work.
Facilitation of service meetings including taking notes and producing minutes, ensuring accurate records of attendance are kept and timely dissemination of agendas and meetings papers.
Caseload maintenance, data quality and spine matching as directed by the Administration Lead.
Work with colleagues to monitor and rectify identified data quality issues.

Person Specification
Qualifications
- Educated to NVQ 2 level or equivalent in appropriate subject e.g. Business Admin.
- Good standard of education (minimum 5 GCSEs, including English and Maths or equivalent desirable).
- Previous NHS experience or other large public sector organisation would be an advantage
Experience
- Demonstrable experience of working in a busy environment, office procedures, and workload management.
- Thorough understanding of confidentiality and security of information.
- ECDL or equivalent qualifications.
- Use of online patient record system such as SystmOne would be an advantage.
Knowledge
- Possess excellent verbal and written communication and presentation skills and the ability to employ these skills to maintain effective relationships
- Ability to be creative and innovative.
Skills
- Evidence of IT skills (Microsoft Office)
- Willing to participate in Continued Professional Development
- A willingness to attend new courses on new IT software packages and the desire to learn and develop new skills.
