Job Title : Digital Operations Specialist Location : Central Edinburgh Salary : £30k - £40k pro rata (depends experience and hours worked ) Hours : Flexible - part time/ flexi hours considered. Start Date: Negotiable *About Us* Royal Mile Silver is an independent jewellery business based in the heart of Edinburgh's Old Town. We design and sell silver, gold vermeil and tungsten carbide jewellery through our physical store on Jeffrey Street, pop ups during peak retail seasons and our growing e-commerce platform. We're a passionate, close-knit team, and we're looking for a motivated and inspiring Digital Operations Specialist to manage and optimise the systems that support our retail and online operations. *The Role* This is a newly created, in-house role that sits at the intersection of technology, operations, and process management. There will be a period of handover from our current assistant operations manager. You will be the person who keeps our digital infrastructure optimised — from our point of sale system and WordPress/WooCommerce store to our HR tools and internal workflows. You will use AI tools to eliminate repetitive work, build and maintain SOPs, and provide data-driven insights that help us make better decisions. *Key Responsibilities* Retail & POS Systems
- Oversee and maintain the POS system across the business. (Square)
- Manage integrations between POS, inventory, and e-commerce platforms
- Troubleshoot technical issues and liaise with system providers
- Ensure accurate stock synchronisation and reporting
- Maintain and optimise WordPress website and WooCommerce store
- Manage product uploads, pricing updates, and promotions
- Monitor site performance, uptime, and user experience
- Implement plugins and improvements securely and efficiently
- Support SEO and site optimisation initiatives
- Troubleshoot site issues and coordinate with developers when specialist support is required
- Identify opportunities to use AI tools to improve efficiency
- Automate repetitive tasks and streamline internal processes
- Build and refine digital workflows across departments
- Support the team in adopting new tools effectively
- Champion a culture of continuous improvement — always asking how we can work smarter
- Maintain HR and workforce management systems
- Ensure smooth integration between payroll, scheduling, and retail systems (Square Timesheets)
- Oversee data integrity across platforms
- Create, document, and maintain Standard Operating Procedures for all key business processes
- Monitor compliance and update procedures as systems evolve
- Establish clear digital processes for retail and online operations
- Train staff on systems and processes as needed
- Conduct regular SOP audits and implement improvements
- Monitor retail and e-commerce performance metrics
- Build dashboards and regular reporting for management
- Analyse sales trends, stock performance, and operational efficiency
- Provide actionable insights to support growth
- Proven experience in a digital operations or systems role
- Strong WordPress and WooCommerce experience
- Experience managing EPOS systems in a retail environment
- Strong understanding of analytics tools and reporting dashboards
- Experience implementing AI tools to improve workflows
- Confident troubleshooting technical issues independently
- Strong documentation and organisational skills
- Demonstrated ability to write clear, usable SOPs and process documentation
- Intermediate graphic design skills (Canva, Adobe) for web and marketing assets
- Proactive and solutions-focused
- Detail-oriented with high data accuracy standards
- Comfortable working in a small, collaborative team
- Practical and hands-on approach
