Rubicon Bridge is an innovative SaaS software provider specialising in providing regulatory compliance to the consumer healthcare industry. We work with the providers of medicines, medical devices, cosmetics, foods, and food supplements to streamline their journey to market by making their products packaging legally compliant. Located in the C4DI building in Hull, we are a part of the exciting tech and innovation hub which is growing within the city.

We are seeking a highly experienced Operations Manager to lead and optimise our business operations across commercial, client, and internal functions. This role combines strategic leadership with hands-on operational oversight, ensuring efficiency, scalability, and exceptional service delivery. The successful candidate will be accountable for end-to-end operational excellence, team leadership, process improvement, and cross-functional collaboration to support business growth.

Operations Manager / Responsibilities:

Client Onboarding & Commercial Operations

  • Lead and guide the Operations team through the full client onboarding lifecycle, ensuring a seamless and consistent operational experience.
  • Oversee and complete the preparation, issuing, and acceptance of client quotes, ensuring commercial accuracy and timely approval.
  • Manage the conversion of approved quotes into invoices and complete all invoicing processes to ensure all quotations are billable accordingly.
  • Oversee the Netherlands invoicing account, ensuring accurate and timely monthly invoicing.
  • Monitor payment statuses and escalate outstanding invoices proactively where necessary.
  • Maintain comprehensive oversight of client records, contracts, and billing information within internal systems.

Operations Team Leadership & Management

  • Lead, mentor, and develop the Operations team to ensure high performance, accountability, and professional growth.
  • Ensure all operational tasks are executed to agreed standards, deadlines.
  • Drive continuous improvement initiatives, implementing best practices across all business operations.
  • Conduct regular team check-ins, provide coaching, and support operational development.
  • Serve as the primary escalation point for operational issues, swiftly resolving blockers.

Operational Strategy & Process Improvement

  • Take full ownership of day-to-day business operations, driving efficiency, consistency, and scalability within the team.
  • Identify operational risks, inefficiencies, and bottlenecks, implementing solutions to improve performance and reduce costs.
  • Develop, document, and maintain Standard Operating Procedures (SOPs) across all operational functions.
  • Track operational initiatives, report progress, and advise senior leadership on timelines and strategic priorities.

Office & Facilities Operations

  • Strategically oversee office and facilities management, including supplier relationships, service contracts, and compliance.
  • Manage operational budgets related to facilities ensuring cost efficiency.
  • Ensure adherence to health, safety, and company policies, collaborating closely with the Quality team.

Staff Onboarding & Operational Enablement

  • Own and manage the operational onboarding framework for new employees, ensuring readiness across systems, access, and equipment.
  • Ensure seamless integration of new hires into operational processes to maximise productivity.

Travel, Events & External Operations

  • Oversee and assist corporate travel, accommodation, and logistics, ensuring compliance with company policies and budgetary control.
  • Oversee and manage the operational planning and delivery of company events, charity initiatives, wellbeing programs, and exhibitions.

Systems & Workflow Management

  • Oversee, own, and optimise core operational tools including Basecamp and HubSpot.
  • Ensure operational visibility, accountability, and effective cross-team collaboration through tools such as HubSpot, Basecamp, SharePoint, and Teams.

General Operations Oversight

  • Act as the primary operational escalation point across the business.
  • Ensure operational excellence and efficiency across all internal and client-facing processes.

Qualifications & Experience

  • Degree in business administration, Operations Management, or a related field
  • Minimum 5+ years in an operations management or senior leadership role
  • Proven experience managing teams, budgets, and operational projects
  • Strong command of English and numeracy skills
  • Proficient in multiple computer systems and operational platforms
  • Customer service experience and client-facing operational knowledge
