Customer Service Specialist

About the Role

Are you passionate about delivering exceptional customer service and creating outstanding workplace experiences?

We are looking for a proactive and customer-focused Customer Service & Workplace Specialist to join our team. This exciting and varied role plays a central part in ensuring colleagues, clients and visitors receive the support, services and workplace experience they need to be productive, comfortable and successful.

Working across customer service, workplace support, facilities coordination, logistics, mail and print services, you will be a visible presence throughout the office, helping to resolve issues, answer queries and deliver a seamless customer experience.

No two days are the same. You’ll work both on the practice floor and within the Workplace Solutions Hub, providing support wherever it is needed most.

What You'll Be Doing

  • Deliver exceptional customer service to colleagues, clients and visitors.
  • Act as a key point of contact for workplace-related services and enquiries.
  • Build strong relationships across the business, providing support and resolving issues efficiently.
  • Take ownership of customer requests and ensure timely follow-up and resolution.
  • Support colleagues in making effective use of office facilities, technology and workspaces.

Workplace Experience

  • Conduct regular checks of meeting rooms, client areas and communal spaces to ensure high standards are maintained.
  • Take a proactive and visible approach to supporting customers throughout the workplace.
  • Report and monitor maintenance issues through to resolution.
  • Support workplace technology, meeting room equipment and collaboration spaces.
  • Assist with office space utilisation and workplace services.

Facilities & Compliance Support

  • Support workplace audits, inspections and compliance activities.
  • Assist with health and safety checks and workplace initiatives.
  • Support new joiner activities and workstation assessments.
  • Coordinate contractor access and maintenance activities when required.
  • Assist with workplace safety, emergency preparedness and evacuation activities.

Mail, Courier & Logistics Services

  • Process incoming and outgoing mail and courier deliveries.
  • Coordinate dispatch, receipt and tracking of IT equipment and business deliveries.
  • Ensure all items are handled and delivered in accordance with procedures.

Print & Business Support Services

  • Manage print requests and ensure timely delivery.
  • Support multifunction devices and printers, including consumable replenishment.
  • Maintain information security standards for printed and electronic materials.
  • Resolve routine printer and equipment issues.

Team Collaboration

  • Work collaboratively with colleagues and service partners to deliver a seamless customer experience.
  • Proactively identify opportunities to improve workplace services.
  • Support a culture of teamwork, accountability and continuous improvement.

  • Awareness of health and safety and workplace compliance requirements

Experience in customer service, workplace services, hospitality, facilities management or front-of-house environments is desirable.
