Administrator Part-Time 15hrs - St Nicholas Arcades, Lancaster
Purpose of the Role
To provide a professional and efficient administrative function to support the Centre Management team, with a key focus on use of Savills IT systems for data input / management.
Key Responsibilities
Support the Centre Manager in the day to day management.
Raising purchase orders and assisting with any invoice enquiries and discrepancies.
Assist the Centre Manager to collect monthly turnover figures from tenants ensuring appropriate database is kept up to date.
Assist Centre Manager in collation of monthly reports including collecting relevant external reports and populating appendices.
With the assistance of the Centre Manager, ensure that all Savills operational processes and procedures are adhered to, and significant documents loaded to Savills systems.
Keeping Health & Safety documentation up to date and entered on systems including accident / incident Reporting
To assist the Centre Manager in meeting and improving internal and external KPIs.
General filing of all documentation both manual and electronic including archiving and maintaining of records
Maintain up to date tenant contact details with regular reviews
Assist with utility management including tenant recharges, Change of Tenancy applications and report production.
Deal with all enquiries and requests for parking and exemptions. Updating the exempt list and dealing with requests for exemption.
The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organization.
Skills, Knowledge and Experience
Excellent IT skills including proficiency in full range of Microsoft applications inc. Word, Excel, PowerPoint, Outlook.
Broad knowledge of office administration within retail environment.
Ability to work in a team, or alone under the direction of Centre Manager.
Excellent communication skills.
Good organisational and time management skills with the ability to prioritise workload and multitask in a calm and professional manner.
Careful and conscientious with an aptitude for attention to detail.
Willingness and ability to learn on the job, keen to undertake training and career development.
The candidate attributes detailed above are considered to be non essential although training will be provided on more technical aspects of the role.
Working Hours - Part-Time 15 hours
Salary - £26,000 per annum pro rata
