Senior Administrator / Personal Assistant (PA) - Construction


Location: Glasgow (Fully On-site)
Type: Full-Time (8am-4.30pm)
Salary: £35,000 - £40,000 (DOE)

My client is a dynamic and growing construction company committed to delivering high-quality projects on time and within budget. As they continue to expand, they are seeking a proactive and detail-oriented Administrator/PA to support our various departments and contribute to the seamless operation of our business. In this role you will be the main point of contact for all administrators in the team.


What We're Looking For
* Experience: Minimum of 3 years' experience in an Administration role.
* IT Proficiency: Strong IT literacy, with experience in Office 365, Adobe, Microsoft Forms & Lists, SharePoint, and COINS ERP systems.
* Organisational Skills: Excellent organisational and multitasking abilities, with a keen eye for detail.
* Communication: Strong verbal and written communication skills, with the ability to liaise effectively with internal teams and external stakeholders.
* Personality: A dynamic, resourceful, and robust individual who thrives in a fast-paced environment and enjoys working collaboratively.

Key Responsibilities
* Administrative Support: Provide comprehensive administrative assistance across multiple construction departments, ensuring efficient workflow and communication.
* IT System Support: Assist with the implementation and management of Office 365, Adobe, Microsoft Forms & Lists, and SharePoint to streamline operations.
* ERP System Implementation: Support the rollout of the Coins ERP system, including setup, data entry, and user training.
* Purchase Ledger Assistance: Aid in general purchase ledger tasks, including processing invoices and managing supplier accounts.
* Order Management: Experience in placing and tracking purchase orders to ensure timely delivery of materials and services.
* Document Control: Maintain and update subcontractor insurance records, ensuring compliance with company policies and industry regulations.
* Data Management: Add and update supplier and customer information in the system accurately.
* Job Management: Open and close jobs in the system, ensuring all relevant information is recorded and accessible.
* Communication: Serve as a confident communicator between teams, facilitating smooth operations and addressing any issues promptly.
