HR Data Cleanse Coordinator

We currently have a temporary opportunity for an HR Data Cleanse Coordinator who is experienced in HR administration, records management, and data cleansing, with a meticulous approach to maintaining accurate and compliant employee records. 

In this role, you will provide essential support to the HR team during a period of HR system and SharePoint restructuring. You will play a key role in ensuring HR records, employee files, and digital structures are accurate, organised, compliant, and aligned with a new OpenText architecture. 

Working closely with both HR and Infrastructure teams, you will support a large-scale data cleansing project, helping to remove duplicate data, delete legacy files, assist with employee file migrations, and reorganise HR digital filing structures to improve efficiency and governance.

Hours: 37 hours per week

Key Responsibilities

  • Maintain accurate and compliant HR records, ensuring employee files are complete, up to date, and stored correctly.
  • Support the cleansing and preparation of current and legacy employee files ahead of migration to OpenText.
  • Reorganise and restructure HR folders and digital filing systems in line with new organisational standards.
  • Identify and remove duplicate, outdated, and irrelevant information from HR records and digital storage locations.
  • Assist with employee file migrations and wider HR data management activities.
  • Maintain strong governance and confidentiality when handling sensitive employee information.
  • Work methodically with large volumes of data, applying structured processes to ensure accuracy and consistency.
  • Support general HR operational activities and ad hoc HR projects as required.
  • Work collaboratively with HR and Infrastructure teams to ensure successful project delivery. 

Skills & Experience

  • Experience within HR administration or data administration. 
  • Proven experience maintaining record-keeping and filing systems. 
  • Strong attention to detail and accuracy, particularly when working with large volumes of data. 
  • Highly organised with excellent time management skills. 
  • Competent in Microsoft Office applications, including Word, Excel, Teams and Outlook. 
  • Experience handling confidential and sensitive HR information. 
  • Comfortable working with systems, digital workflows, and structured HR processes. 
  • Methodical and process-driven approach to work. 
  • Experience working in high-volume environments where accuracy and governance are critical.

Desirable

  • Strong working knowledge of SharePoint. 
  • Experience working within a busy HR team or multi-site organisation. 
  • Familiarity with HR compliance processes, including right-to-work checks, DBS checks, and onboarding activities. 
  • Ability to identify and recommend improvements to filing structures and data processes.
