Administration Assistant/Receptionist

Job summary

An exciting opportunity has arisen for the role of receptionist/administrator based within the Occupational Health and Wellbeing Service at University Hospitals Tees. The post holder will provide effective administration support to the service and excellent communication skills along with outstanding customer care.

Main duties of the job

Carry out routine administrative duties pertinent to the service.

The role requires the individual to work as part of multi-disciplinary team.

The post holder will be predominantly office based and undertake the following activities: receive, record, sort, and distribute any form of communication and mail and take appropriate action including escalation where appropriate.

Receive and make telephone calls to/from staff accessing the service managers, Human Resources, other NHS and non-NHS professionals/agencies.

Follow through all enquiries in a friendly and professional manner.

Undertake general receptionist duties and utilise our bespoke IT system to create new records, process referrals and administer clinics.

Person Specification

Knowledge and Skills

Essential
  • Excellent communication and interpersonal skills.
  • Understanding of clerical processes.
  • Efficient and accurate word processing skills.
  • Working knowledge of Microsoft 365. Good understanding of a range of routine work procedures and practices.
  • Sound knowledge of the work and scope of the service to act as a point of information for Trust staff.

Qualifications

Essential
  • GCSE's English and Maths A-C or equivalent qualification or equivalent work experience.
  • Qualified at NVQ 2 or equivalent experience or equivalent work experience.

Experience

Essential
  • Extensive use of Office and Outlook, including word, excel, email and internet.
  • Previous experience working within a team.
  • Administrative experience.
