Job summary

Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide administrative support to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Duties can include, but are not limited to, the processing of information (electronic and hard copy) in a timely manner.

Main duties of the job

Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice. Deal with all general enquiries, explain procedures and make new and follow-up appointments. Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed. Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery. Enter requests for home visits, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor. Handling orders, processing of repeat/acute prescriptions. Process new patient registrations and change of address Scanning of patient related documentation and attaching scanned documents to patients healthcare records Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms Clinically coding data on EMIS Web including summarising and processing GP2GP Support Data Quality Lead with tasks/searches in relation to QP and IIF ensuring KPI are met Have working knowledge of practice telephone system and Doctors mobiles during and after hours. Ensure building security have thorough knowledge of doors/windows/alarm. Any other tasks allocated by Managers.

Person Specification

Qualifications

Essential
  • GCSE grade A to C in Math, English, ICT or equivalent education
  • NVQ Level 2 Customer Service or equivalent
  • Experience of working in a public reception/administrative role.
  • Experience of dealing with the public/patients.

  • Experience of EMIS Web Clinical System

  • Experience of working within the NHS/General Practice
