Job summary
A vacancy has arisen to join the St Georges administration team for 22 hours per week, scanning patient notes onto our clinical system, essential to the safe and efficient running of a modern general practice.
The successful candidate will be comfortable using computers and confident in their ability to learn new programs quickly. Experience of SystmOne, our clinical IT system would be an advantage but not essential.
Main duties of the job
The safe, timely and confidential management of documents and correspondence is vital to the safe running of a GP practice. The secure and timely storage of documents and records, paper and electronic is essential.
The post-holder will work, mostly autonomously, to scan documents into St Georges clinical system (SystmOne).
About us
Built in 2003, St Georges Medical Centre is a forward-thinking, dispensing GP Practice in rural East Cambridgeshire caring for over 13,000 patients. We are on GMS contract and use SystmOne. There are 65 staff in total, including seven GPs (three of whom are partners), four nurse practitioners, four Practice nurses, health care assistants, a phlebotomist and a strong secretarial and reception team. We have innovative partnership arrangements with Addenbrookes Hospital and host an oncology suite meaning our patients do not have to travel for treatment. We are a training Practice and have medical students, nursing students and GP trainees.

MAIN RESPONSIBILITIES
Communication
Recognise the importance of effective communication and communicate effectively with patients, carers, team members, and external partners.
Recognise peoples needs for alternative methods of communication and respond accordingly.
The post-holder will discuss with their line manager in a timely way, any problems or challenges they may have delivering the responsibilities of the post.
Document management
Receive and organise documents and communications received.
Scan, or otherwise process, documents into SystmOne in a timely manner.
Communicate with other professionals and share documents as appropriate (for example child protection reports).
Information Management and Technology
Use SystmOne and NHS email systems effectively and safely, being mindful of confidentiality and business-sensitive information.
Health, Safety and Security
The post holder will be aware of their obligations under health and Safety law, and the obligations of St Georges Medical Centre as a safe employee.
The post-holder will be aware of Practice policy and legal obligations to self and others with regard to health, safety and security.
Actively identify, report, and correct health and safety hazards and infection hazards immediately when recognised.
Use personal security systems within the workplace according to Practice guidelines.
Use appropriate infection control procedures, and maintain work areas in a tidy and safe way and free from hazards, and initiation of remedial / corrective action where needed.
Make effective use of training to update knowledge and skills, and initiate and manage the training of others.

The post-holder will participate in all mandatory training and any other training programme considered appropriate by the Practice Manager.

Safe employment checks
Because of the access to patients, access to confidential information and access to the Practice site that this post holder will have, a satisfactory enhanced Disclosure and Barring Service check will be required.
Person Specification
Qualifications
- GCSEs (or equivalent) grade C or higher in both Maths and English.
- Good personal organisation and time management including prioritisation of workload.
- Good written and verbal communication.
- Essential computer skills (email, Word, Excel)
- Willingness to learn and develop.
- Diligence and attention to detail.
- Ability to maintain patient confidentiality.
- Ability to work well with others.
- Of good character.
- Willingness to work flexibly on occasions.
- Acceptable Enhanced DBS report.
- Acceptable verbal references.
- Confirmation of permission to work legally in UK.
- Higher level qualifications (eg AS- or A-levels, undergraduate degree).
- Computer skills qualification.
