Patient Safety and Datix Facilitator

Job summary

An exciting opportunity has arisen to join the Patient Safety Team as a Patient Safety Systems manager, predominantly to support the organisation's use of the risk management software, RL Datix. The system is used to support a range of clinical governance and patient experience activity, across both Trust's in the group, including the management of complaints, patient advice and liaison, risk management, incidents, and legal claims.

We are looking for a team player with credible experience to work as part of a small, busy patient safety team. The individual will be supporting the day to day management of the system to maintain data quality and access rights, providing support and training to the end users and supporting further development of the system to maximise its use to support the strategic objectives across the organisation.

In addition to being organised and able to manage their own workload in a systematic fashion, the person needs to be able to work as part of a team, contributing ideas and providing support to the wider work of the patient safety team.

Main duties of the job

The post is to act as a developer/analyst and primary Database Administrator within the Patient Safety Team supporting both the maintenance and technical development of the DATIX system.

The DATIX system is a suite of modules for Incidents, Complaints, Claims, PALS and Risk management through which the organisation coordinates and manages its patient safety, quality and risk obligations, and has a growing number of system users throughout the organisation.

The post holder will be responsible for the day-to-day technical management of the system and business continuity, troubleshooting complex problems and errors, and liaising with the supplier around bugs and functionality issues. They will develop where required Standard Operating Procedures and Technical Support documents, adhere to meticulous change control processes, and communicate changes in system functionality.

The post holder will also develop and maintain a suite of self service queries, reports and indicators to support the analysis, reporting and information management needs of the organisation. They will supervise the work of the Patient Safety DATIX Helpdesk to ensure that data quality processes are adhered to and under continual review, and that National Reporting and Learning Service upload targets are met.

Job responsibilities

The purpose of the Patient Safety & Datix Facilitator is to:

Support the administration, maintenance and development of the risk management system, Datix. The system is used to support a range of clinical governance and patient experience activity, including the management of complaints, concerns, incidents, legal claims, risks, safety alerts and mortality reviews.

Develop and maintain relationships internally and externally to ensure that all clinical/patient safety incidents are investigated in accordance with the relevant organisational policy and that learning is shared across the organisation where appropriate.

Provide advice and support to Trust staff on matters of patient safety and Datix, including troubleshooting and resolving issues; and system configuration.

Whilst reporting to the gesh Assistant Patient Safety Manager, the post holder isexpected to work both autonomously and as part of the Patient Safety team, using theirown initiative to develop and design systems and processes which support the corefunctions. Support the management of organisational and administrative requirements to enablethe appropriate and timely management of the processes for recording, reporting,investigating, monitoring and auditing of patient safety incidents.

Support administration and provision of Datix training and patient safety related training.

Person Specification

Experience

Essential
  • Experience in the patient safety team and use of Datix systems
  • Has knowledge and experience of change and leadership from previous role
  • Experience of working closely with senior managers/directors.
  • Previous experience where incident investigation and risk management has been integral to the role
  • Knowledge of clinical risk reporting systems, including Datix, STEIS and equivalent systems
  • Knowledge of clinical risk reporting systems, including Datix, STEIS and equivalent systems.
Desirable
  • Experience in Patient safety and datix
  • Awareness of NHS system for management of complaints & legal claims.
  • Experience of working in a technical support role.
  • Understanding of national patient safety drivers.

Skills

Essential
  • Ability to organise, minute meetings, produce papers and co-ordinate investigations.
  • Competent and experienced user of computer software, database and spreadsheet applications with proven experience of using Word, Excel, e-mail and the internet
  • Knowledge and experience of implementing and embedding risk management systems across an organisation
  • Knowledge of NHS national targets and priorities as well as current NHS achievement requirements e.g. CQC
Desirable
  • Understanding of clinical and corporate governance.
  • Familiarity with risk management software.

Qualifications & Training

  • Educated to degree level or equivalent experience
  • Evidence of on-going professional development
Desirable
  • Patient Safety / Governance / Risk Management qualification or evidence of an understanding of patient safety/risk management
  • Clinical qualification
  • Datix Certified Professional qualification
