Clinical Governance and Data Officer
Job summary
We are looking for an organised, proactive and detail-focused Clinical Governance and Data Officer to join our Patient Safety and Quality Team on a 12-month maternity cover contract from September. This is a 30-hour per week role, and we are happy to consider flexible ways of working to support the right candidate. This is an important role within our supportive and collaborative Patient Safety and Quality Team. You will help us maintain effective governance systems, manage and present clinical quality and patient safety data, and provide administrative support that enables clear reporting, shared learning and continuous improvement across the hospice. Main duties of the job
Working closely with colleagues across all clinical teams, you will support the accurate recording and reporting of incidents, feedback, governance information and quality data. You will also help colleagues use systems such as InPhase, our electronic incident reporting, feedback and audit platform to ensure information is recorded clearly, securely and in a way that supports learning and improvement. We are looking for someone who enjoys working with data and systems, has strong administrative skills, and can communicate confidently and professionally with colleagues at all levels. Accuracy, confidentiality, good organisation and a positive, team-focused approach will be key to success in this role.

To enhance the clinical quality and patient safety intelligence by managing, processing and presenting data that supports the delivery of the Clinical Governance and Patient Safety framework. To provide comprehensive administrative and data management support to the Patient Safety and Quality Team, enabling effective reporting, decision-making, and continuous improvement across the organisation. To deliver specific service support to the Head of Clinical Governance and Quality, Patient Safety and Quality Team, Infection Prevention Control and the Director of Clinical Services and Family Support, including InPhase system oversight. Data Management and Preparation Maintain and update clinical governance datasets to support service monitoring and improvement. Prepare and present data for dashboards, reports, and governance meetings, ensuring clarity and accuracy. Undertake data cleansing, validation, and processing in line with GDPR and NHS data protection standards. Contribute to the development of data collection tools and reporting methodologies to enhance quality and efficiency. Support the ongoing development and presentation of governance data. Clinical Incident, Patient Feedback and InPhase System Oversight Manage clinical incidents on InPhase, providing daily support to the Patient Safety and Quality Team, clinical managers and wider organisation. Maintain clinical modules on InPhase to support quality analysis and governance reporting. Maintain expert knowledge of InPhase clinical modules relevant to the Patient Safety and Quality Team, staying up to date with system developments, best practices, and organisational requirements to ensure optimal use and support. Ensuring timely and accurate logging of clinical incidents and feedback. Support clinical teams and managers in the use of clinical modules on InPhase, offering guidance and troubleshooting as needed. Ensure incidents submitted to LFPSE are complete and accurate, liaising with external providers where required. Liaise with InPhase developers/staff regarding system upgrades, changes and downtime, ensuring timely communication across the organisation. Receive, review and upload service user feedback to InPhase, ensuring timely and accurate recording. Monitor complaint response timeliness and escalate overdue actions appropriately. Reporting and Analysis Collaborate with stakeholders to define reporting requirements and deliver timely, insightful outputs. Produce and disseminate monthly, quarterly and annual reports Present written data clearly and confidently Database and Information Governance Ensure all data storage and handling complies with GDPR, NHS Digital Standards and local IT policies. Maintain a centralised data and documents repository for the Patient Safety and Quality Team, ensuring accessibility and version control. Administrative and Team Support Act as a point of contact for the Patient Safety and Quality Team and provide general administrative support. Coordinate meetings, manage diaries, take minutes, and draft correspondence as required. Assist in the production of internal communications, presentations and promotional material. Review and ensure administrative systems and processes are efficient and fit for purpose, suggesting and implementing improvements to support the Patient Safety and Quality Teams operations. General Responsibilities Uphold high standards of accuracy, confidentiality and professionalism in all aspects of work. Participate actively in team meetings, personal development reviews and organisational initiatives. Contribute to continuous improvement efforts, identifying and implementing process enhancements. Supporting training or awareness initiatives around governance themes. Encouraging teams to engage with governance processes (e.g., incident reporting). Support the administration function for the Accountable Officer and CQC Registered Manager roles, including maintaining accurate records, coordinating documentation and assisting with governance and regulatory requirements as required.
Person Specification
Qualifications
- GCSEs or equivalent in Maths and English grades A*-C (9-4) or national level 2 functional skills equivalent in literacy & numeracy.
- Proven experience in data management, reporting or administration.
- Relevant level 3 qualification in administration, IT or data management.
- Training or certification in clinical governance, patient safety or quality improvement.
- Data analysis or data visualisation qualifications.
