OverviewThe Compliance Specialist position is a new role within the Finance team, reporting to the Finance Director. The position will be responsible for coordinating compliance internally and externally across a number of areas, ensuring that all returns and requests for information are completed accurately and on time. The successful applicant will also be responsible for the retention and retrieval of key company documentation. The role requires excellent organisational and administrative skills and any previous experience in areas of compliance, GDPR, KYC or Company Secretarial work would be beneficial but is not essential.
Job Description Role and Responsibilities- KYC (‘Know Your Customer’) compliance:
- Collect, review and maintain KYC documentation for directors and beneficial owners
- Monitor KYC requirements with banks and other external organisations and businesses as required to ensure information is current and complete
- Company Secretarial / Annual Returns
- Monitor filing deadlines and compliance requirements
- Manage storage and retrieval of corporate documents for the business using electronic and physical filing systems
- Updating corporate structure charts
- Trademarks
- Monitor deadlines for trademark renewals
- Support Finance Director with applications for any new trademarks
- Licence Agreements
- Work with Finance and Sales Director to identify all compliance requirements specified by licence agreements in place and assign owners
- Monitor completion of compliance activities
- Support audits by licensors as required
- Cyber Security
- Track progress and actions for implementation of cyber security essentials implementation
- Respond to ad hoc internal and external information requests including office of national statistics etc. and ad hoc returns
- HR Compliance
- Onboarding / offboarding process for employees
- Annual Leave coordination
- Maintenance of employee / employer policies & procedures*
- GDPR
- Maintaining register of key GDPR requirements and monitoring compliance across the team
Successful candidates will have:

- Strong written and verbal communication skills
- Proficiency in Microsoft Office applications
- Ability to work independently and manage multiple workstreams simultaneously
- Advanced and proven excel skills (essential)

- A flexible attitude. We are a small team and are required to provide support to other teams during busier times
- Previous experience in KYC, compliance, administration etc. is not essential but beneficial
- Note: technical expertise in the areas of HR, Cyber Security, Trademarks, GDPR etc is not required. This is an administrative and coordinating role only
