Job summary

Advice Line Administrator: Part time (22.5 hours)

This role involves providing clerical and telephone support to the Advice Line and PHN services in Stockport. Responsibilities include managing clinic appointments, processing correspondence, and maintaining patient records using various IT systems. The role requires handling sensitive and confidential information with care.

Important Notice on Visa Sponsorship Eligibility

Please note that whilst the trust does offer sponsorship this role is unfortunately not eligible for visa sponsorship under the UK Health and Care Worker/Skilled visa route. This is due to the position not meeting the minimum salary threshold of £41,700 per annum and the required skill level set by UK Visas and Immigration.

Main duties of the job

  • To provide telephone and clerical support to the Advice Line and PHN service across Stockport
  • To provide a full range of clerical duties to support the clinical teams, including making clinic appointments, processing and filing correspondence
  • IT Skills using a range of systems and processes .

Job description

Job responsibilities

  • To provide a full range of clerical duties as directed by the Information and Clerical Support Co-ordinator and advice Line Team Leader using IT skills including spread sheets, word processing, emails, electronic patient record processes, scanning and retrieval of information using a variety of systems.
  • To manage telephone calls to the advice line, processing these from professionals and families, directing to the advice line team for response where appropriate.
  • General office administration including filing and the management of electronic and paper information
  • To work as part of a team and to carry outs tasks set by the line manager or Advice Line Team Leader.
  • To have an understanding of GDPR, Patient confidentiality, Risk Management and Health and Safety Procedures and guidelines.
  • To manage the generic email box, ensuring appropriate communication response and dissemination and processing of client information
  • To advise the HV/SN, Team Leader of any concerns relating to safeguarding of risk to vulnerable adults in line with policy

If successful this vacancy will require a Standard DBS check at a cost of £26.50. This cost will be deducted from your first Trust salary

In addition to this it will be a condition of your employment that you will join the DBS update service and pay the annual subscription fee of £16

Person Specification

Education and Qualifications

Essential
  • English, Maths GCSE (A-C)/ O'Level or equivalent qualifications
  • NVQ level 2 or above in a relevant subject - IT/ Administration/ Business
Desirable
  • Relevant administrative qualification eg RSA/ keyboard skills/ ECDL

Knowledge

Essential
  • knowledge of a range of administrative procedures
Desirable
  • knowledge of NHS Systems EMIS, PAS and Synergy

Experience

Essential
  • Previous clerical/ administrative experience
  • Experience of general office duties
Desirable
  • Experience of working in a health care setting
  • Experience of working with general public

Skills and abilities

  • IT skills including MS office, data inputting and scanning
