The Role

We have an exciting opportunity for a Business Systems Administrator to join our team. This role is responsible for administering and improving Microsoft Dynamics 365 Business Central and the wider Microsoft 365 ecosystem. You will manage workflows, automation, permissions, and user support while contributing to major digital transformation projects. The ideal candidate is technically strong, process minded, and motivated by continuous improvement and cross functional collaboration.

We are a rapidly growing business undergoing a significant digital transformation, centred on the implementation of Microsoft Dynamics 365 Business Central as our core ERP platform. Joining at this pivotal stage means you will play an influential role in shaping how our systems, processes, and workflows evolve as we scale. As the System Administrator, you will develop into a subject matter expert in Business Central and the broader Microsoft ecosystem, supporting the implementation, building and maintaining workflows and approval processes, managing user access, and embedding best practice across the organisation.

Working closely with teams across Finance, Operations, Retail and beyond, you will support day-to-day system activities while contributing to long-term systems development and the organisation’s digital capability. As the business expands, you will have ongoing opportunities to participate in new projects, learn new technologies, and take on increasing ownership and responsibility.

Please note: This is a full-time, permanent position based in Edinburgh. We are currently operating a hybrid working approach with a minimum of 3 fixed days required each week working from our beautiful Townhouse in Edinburgh City Centre.

Key Responsibilities

Microsoft Business Central Ownership and Support

  • Act as an internal expert for Business Central across implementation, go-live and ongoing operation.
  • Configure, test and optimise workflows, approvals, permissions and user roles.
  • Manage day-to-day ERP activities including user onboarding, access control, data hygiene, environment oversight and basic troubleshooting.
  • Work with third-party partners and internal teams to support integrations with WMS, OMS, BI tools and other connected systems.
  • Maintain clear documentation of system processes and configurations.

Microsoft Power Platform and Automation

  • Design, build and maintain Power Automate flows to support approvals, notifications, data movement and process automation.
  • Enhance Business Central processes using Power Apps and support low-code solutions where required.
  • Identify and implement automation opportunities with business stakeholders.
  • Support the development of reporting and dashboards using Power BI.

SharePoint and Microsoft 365 Administration

  • Administer SharePoint sites, document libraries and permissions, ensuring clear and scalable structures for growing teams.
  • Support document governance and ensure SharePoint is aligned with Business Central document management needs.
  • Provide user support for SharePoint navigation, access and site usage standards.
  • Contribute to the optimisation of the Microsoft 365 environment across users and teams.

Systems Access, Security and Lifecycle Management

  • Manage system access across Business Central, Microsoft 365, SharePoint, Airtable, Shopify and related systems.
  • Coordinate onboarding and offboarding processes, ensuring correct role-based access is granted or removed.
  • Maintain accurate records of permissions, accounts and licensing.
  • Conduct regular audits to ensure system security, compliance and cost efficiency.

Technical Support and Issue Management

  • Serve as the first line of support for Business Central, SharePoint, Microsoft 365 and integrated platforms.
  • Triage issues, resolve them directly where possible or escalate appropriately.
  • Monitor recurring issues and propose improvements to prevent future disruption.
  • Maintain a clear record of issues, actions taken and solutions.

Training, Documentation and User Enablement

  • Provide training to new and existing staff across Business Central and other core systems.
  • Create and maintain clear user guides, standard operating procedures and onboarding documents.
  • Ensure teams understand system processes, best practices and proper use of workflows.
  • Support a consistent and positive user experience across the organisation.

Continuous Improvement and Project Involvement

  • Contribute to ongoing improvement of Business Central and the wider systems landscape.
  • Assist with system enhancements, process redesigns and integration improvements.
  • Participate in cross-functional business projects as the organisation continues to scale.
  • Stay informed of new Microsoft platform features and evolving best practices and assess their relevance to the business.

About You

To be a star candidate for this position, you must be able to demonstrate the following skills and experience:

  • Three to five years of experience in system administration, ERP support or technical operations.
  • Familiarity with Microsoft Dynamics 365 Business Central or comparable ERP systems.
  • Strong understanding of workflows, permissions, configuration principles and data structures.
  • Experience administering Microsoft 365 and SharePoint.
  • Excellent problem-solving skills and the ability to communicate clearly with both technical and non-technical stakeholders.
  • Strong documentation skills with a focus on clarity and usability.
  • High attention to detail and an organised, proactive mindset.

The following skills and experience are desirable, but not essential:

  • Experience with Power Automate, Power Apps or workflow automation tools.
  • Exposure to retail, e-commerce or similar operational environments.
  • Understanding of API integrations, data flows or low-code tools.
  • Experience supporting BI platforms such as Power BI.
  • Background supporting ERP implementations or transformation projects.
