System Administrator

Hours: 40 hours / 5 days per week

Work Arrangement: Currently, we operate a working pattern of 4 days in the office and 1 day from home.

About the role

Systems Administrator will be responsible for the day-to-day administration, support and continuous improvement of Entrata and other business systems used across the business. Working closely with operational teams, the role ensures systems are configured effectively, users are appropriately supported and data is maintained accurately. The Systems Administrator will investigate system issues, manage user access and permissions, support integrations and testing activities, and contribute to system enhancements that improve business processes and user experience. This role plays a key part in ensuring the reliability, efficiency and ongoing development of business systems.

Main Duties &Responsibilities:

  • Administer and maintain Entrata and other business systems used across the business, ensuring system performance, stability, and effective day-to-day operation
  • Manage day-to-day system administration activities including user creation, amendments, deactivation, and role-based access permissions
  • Maintain system configuration settings, workflows, templates, forms, and operational rules across business applications
  • Act as first-line support for systems-related queries, troubleshooting issues and escalating where required
  • Monitor and manage helpdesk tickets, ensuring timely resolution and communication with stakeholders
  • Investigate system errors, data discrepancies, and process failures, implementing corrective actions and documenting resolutions
  • Assist with system testing, user acceptance testing (UAT), regression testing, and validation of new functionality and releases
  • Review system release notes and assess the impact of updates, enhancements, and configuration changes
  • Produce and maintain system documentation including configuration records, process maps, user guides, and troubleshooting procedures
  • Deliver user training and provide ongoing support to operational teams to encourage effective system usage and adoption
  • Support data management activities including imports, exports, cleansing, validation, and migration preparation
  • Support with property onboarding and offboarding processes
  • Assist operational teams with room, rate, contract, inventory, and customer data management within systems
  • Collaborate with Finance, Operations, Sales & Marketing, and other departments to ensure systems align with business requirements and processes
  • Create and maintain reports, dashboards, and scheduled exports to support operational and business reporting needs
  • Support compliance activities by maintaining accurate records and documentation for audit purposes
  • Ensure adherence to internal policies, data protection standards, and information security requirements
  • Assist in the implementation of new modules, processes, integrations, and system enhancements
  • Participate in project workstreams, supporting system rollouts, configuration changes, and continuous improvement initiatives
  • Maintain strong knowledge of system functionality and industry best practices within the PBSA and property management sector

Requirements:

Must have

  • Previous experience (minimum 1–2 years) supporting or administering business systems
  • Experience working with Entrata, Yardi, StarRez, Kinetic or similar PMS/enterprise system
  • Strong troubleshooting and problem-solving skills with the ability to investigate and resolve system issues
  • Strong understanding of operational business processes and how systems support them
  • Strong communication skills with the ability to support and train non-technical users
  • Good understanding of data accuracy, validation, and quality control
  • High attention to detail and a proactive approach to continuous improvement

Good to have

  • Experience with system testing (UAT) or system rollouts
  • Experience working with helpdesk or ticket management processes
  • Experience creating or maintaining system documentation
