About the role:

The Systems Support Analyst will serve as technical lead responsible for the oversight, optimisation and operational excellence of Entrata and other core business systems. This role provides day-to-day system administration, proactive user support and continuous improvement across the organisation.

Working in close partnership with operational leaders, the Systems Support Analyst ensures systems are configured to meet evolving business needs, while maintaining high standards of data integrity, security and performance. The position plays a key technical role in supporting system migrations, managing large quantities of data and working with stakeholders to ensure projects are delivered on schedule.

The Systems Support Analyst provides expert guidance to users, leads complex troubleshooting efforts, and drives best‐practice adoption across the business. This role takes ownership of system issue investigation and resolution, release testing and contributes to the delivery of enhancements that streamline processes and elevate the overall user experience.

Main Duties &Responsibilities:

  • Administer and maintain Entrata and other business systems used across the organisation, ensuring system performance, stability, and effective day-to-day operation
  • Manage day-to-day system administration activities including user creation, amendments, deactivation, and role-based access permissions
  • Maintain system configuration settings, workflows, templates, forms, and operational rules across business applications
  • Provide ongoing day to day support for systems-related queries, troubleshooting issues and escalating to third-party vendors as required
  • Manage the system support helpdesk tickets, ensuring timely resolution and communication with stakeholders
  • Identify and investigate system errors, data discrepancies, and process failures, implementing corrective actions and documenting resolutions
  • Assist with system testing, user acceptance testing (UAT), regression testing, and validation of new functionality and releases
  • Review system release notes and assess the impact of updates, enhancements, and configuration changes
  • Proactively review system processes and functionality to identify areas for improvement and efficiencies
  • Lead the implementation of new modules, processes, integrations, and system enhancements
  • Produce and maintain system documentation including configuration records, process maps, user guides, and troubleshooting procedures
  • Produce and deliver user training and provide ongoing support to operational teams to encourage effective system usage and adoption
  • Support system migrations working closely with internal stakeholders and third-party vendors to ensure projects are delivered on schedule
  • Lead the system migration technical set up and support the preparation of imports, exports, data cleansing and validation
  • Manage property onboarding and offboarding processes
  • Assist operational teams with room, rate, contract, inventory, and customer data management within systems
  • Collaborate with Finance, Operations, Sales & Marketing, and other departments to ensure systems align with business requirements and processes
  • Create and maintain reports, dashboards, and scheduled exports to support operational and business reporting needs
  • Support compliance activities by maintaining accurate records and documentation for audit purposes
  • Ensure adherence to internal policies, data protection standards, and information security requirements
  • Participate in project workstreams, supporting system rollouts, configuration changes, and continuous improvement initiatives
  • Maintain strong knowledge of system functionality and industry best practices within the PBSA and property management sector

Requirements:

Essential

  • Previous experience (minimum 1–2 years) administering business systems
  • Experience working with Entrata, Yardi, StarRez, Kinetic or similar PMS/enterprise system
  • Strong troubleshooting and problem-solving skills with the ability to investigate and resolve system issues
  • Strong understanding of operational business processes and how systems support them
  • Strong communication skills with the ability to support and train non-technical users
  • Good understanding of data accuracy, validation, and quality control
  • High attention to detail and a proactive approach to continuous improvement

Good to have

  • Experience working on system implementations or system testing (UAT)
  • Experience working with helpdesk or ticket management processes
  • Experience creating or maintaining system documentation
