Data & Learning Resources Administrator Apprentice
As a Software & Data Foundation Apprentice, you will provide administrative and data support across the organisation, helping to maintain accurate learner and apprentice records, update internal systems and spreadsheets, prepare reports and support day-to-day office and learning administration.
Role
Data & Administrative Support
- Maintain and update accurate learner and apprentice records on the PICS system, including pre-apprentice and apprentice information
- Enter, update and check information across internal spreadsheets, databases and systems
- Carry out routine checks to identify missing, inaccurate or duplicated information and report issues where appropriate
- Retrieve information from internal systems to support day-to-day administration and operational activities
- Assist with preparing routine reports, spreadsheets and summaries for internal teams and managers
- Maintain organised electronic records and filing systems
- Follow company procedures for the secure handling, storage and sharing of information
Digital Learning & Resource Administration
- Support the Resource Manager with the organisation and administration of digital learning resources on the Moodle platform
- Upload and update learning resources, documents, images, videos and other materials as required
- Create and update basic quizzes, questionnaires and learning activities using existing templates and guidance
- Check that digital resources are correctly named, organised and accessible to learners
- Assist with routine learner queries relating to access to digital learning materials
- Keep digital learning resources and associated records organised and up to date
Learner Feedback & Evaluation
- Assist with collecting learner feedback through surveys, questionnaires, quizzes and other feedback activities
- Maintain accurate records of feedback received
- Collate information and identify basic trends or recurring issues
- Assist with preparing feedback summaries and reports for internal use
- Support the Resource Manager and wider team with administrative actions arising from learner feedback
- Maintain appropriate records of evaluations and improvements made
General Administrative Support
- Provide general administrative support to the Resource Manager and wider team
- Prepare and organise documents, spreadsheets, correspondence and other administrative information
- Assist with scheduling meetings, appointments and learner activities
- Support the organisation and administration of events, presentations, workshops and learner activities
- Maintain electronic folders, filing systems and records in accordance with company procedures
- Assist with preparing meeting information, attendance records and follow-up actions
- Use Microsoft Office and other company systems to complete routine administrative tasks
- Provide support with other reasonable administrative duties as required
Communication & Customer Service
- Support learners with basic queries relating to information, documentation and access to digital resources
- Assist colleagues by providing accurate and timely information from company systems
- Develop positive working relationships with colleagues and stakeholders
Data Protection, Safeguarding & Professional Practice
- Maintain confidentiality when handling learner, apprentice, employer and company information
- Follow GDPR, data protection, information security and company confidentiality procedures
- Follow company policies and procedures relating to health and safety, equality, diversity and inclusion
Training
- An apprenticeship includes regular training at Protocol Consultancy Services in Birmingham (B3 2NH) with the training organisation
- English and maths Functional Skills (if applicable)
- Minimum of 6 hours off-the-job training per week at employer premises
- One day per month training at Protocol Consultancy Services in Birmingham City Centre
- Business Administrator Level 3 or Digital Support Technician apprentice at Protocol Consultancy Services
