Role PurposeWe are looking for a Senior Project / PMO Coordinator with a strong focus on logistics support and project administration to support high value, multi-site customer projects. This role sits within the PMO team and plays a key part in supporting logistics-heavy projects through structured documentation, risk management and governance support. It is well suited to someone with experience in logistics coordination and project documentation who enjoys bringing structure, organisation and control to delivery environments.The role supports projects across IT hardware field engineering (IMAC and deployments), customer rollouts and logistics delivered via third-party suppliers, including warehousing and parts movement.Key Responsibilities: Logistics Support & Administration- Support logistics activity on projects including warehousing setup, parts movements and delivery coordination.
- Act as a day-to-day point of contact for logistics-related project requests.
- Manage and partner with logistics suppliers to ensure services are aligned to project requirements.
- Track logistics activity against project plans and escalate delays or issues.
Project Documentation & PMO Support
- Maintain standard project documentation, templates and records across the team.
- Ensure projects are set up correctly with agreed scope, timelines and milestones.
- Maintain project documentation including plans, action logs, RAID logs and status reports.
- Support and maintain bid and pre-delivery documentation including scope documentation, delivery approaches, risk assessments and reference artefacts, to ensure consistency between bid, commercial agreement and delivery execution.
Governance & Risk Management Support
- Support project governance activities in line with PMO standards.
- Maintain and update project risk and issue logs across all teams’ live projects.
- Track actions and mitigations and ensure updates are captured accurately.
- Act as an internal assurance point, challenging gaps in project setup, bid artefacts, risk assessments and delivery documentation before projects progress.
- Prepare information for weekly project RAG meetings.
- Escalate risks or issues to the line manager where appropriate.
Supplier Coordination
- Support the setup and onboarding of logistics and resourcing suppliers onto projects.
- Work with suppliers to ensure correct services are engaged.
- Collect delivery and performance information to support supplier reviews.
Stakeholder Support
- Act as a coordination point between the PMO, delivery teams,suppliersand operations.
- Provide clear andtimelyproject andlogisticsupdates to internal stakeholders.
- Support delivery teams in resolving operational or logistical issues impacting projects.
Continuous Improvement
- Identify and solve for any gaps or inefficiencies in logistics coordination or project documentation.
- Continuously drive improvements to ways of working to strengthen delivery and governance.
Skills & Experience
Essential
- Experience in a Project Co-ordinator, PMO Analyst, logistics coordinator or similar support role.
- Practical experience supporting logistics activities within an IT project or construction environment.
- Strong experience with project documentation and administrative support.
- Experience maintaining RAID logs, status reports and project records.
- Strong organisational skills and attention to detail.
- Confident communicator with internal teams and external suppliers.
Desirable
- Experience supporting IT, engineering, deployment or logistics-based projects.
- Exposure to warehousing, distribution or third-party logistics suppliers.
