Operations Assistant

Job summary

We are looking for a highly organised, proactive and IT-confident Operations Assistant to support our Operations and Practice Manager in the day-to-day running of a busy GP practice.

This is a varied and important role for someone who enjoys working in a fast-paced environment, is comfortable managing multiple priorities and has excellent attention to detail. You will provide practical and administrative support across the practice, helping to ensure that systems, processes and operational tasks are managed efficiently and effectively.

The successful candidate will be highly organised, confident using IT systems and Microsoft Office, particularly Word and Excel and able to work independently while knowing when to escalate issues to the Operations Manager.

Main duties of the job

Working closely with the Operations Manager your responsibilities will include:

  • Providing day-to-day administrative and operational support to the Operations Manager and Practice Manager.
  • Assisting with the coordination and implementation of practice processes and procedures.
  • Maintaining accurate records, spreadsheets, databases and operational information.
  • Using the EMIS clinical system, Excel and other IT systems to collate, manage and present information.
  • Supporting the monitoring of practice tasks, deadlines, audits and action plans.
  • Preparing reports, documents, meeting papers and presentations as required.
  • Assisting with practice meetings, including preparing agendas, taking notes/minutes and following up actions.
  • Supporting staff with administrative and operational queries.
  • Helping to ensure that practice policies, procedures and documentation are kept up to date.
  • Assisting with audits, data collection and quality improvement activities.
  • Monitoring shared inboxes, systems and administrative workflows where required.
  • Identifying administrative or operational issues and bringing these to the attention of the Operations Manager or Practice Manager
  • Supporting the implementation of new systems and processes.
  • Undertaking general administrative duties to support the smooth running of the practice.

We are a large GP practice and provide care for approximately 16,000 patients. You will have the opportunity to play an important role in the smooth and effective running of our GP practice, working closely with the Operations Manager and Practice Manager as well as the wider practice team.

You will need to be comfortable working with computers and learning new systems quickly. Strong IT skills are essential for this role, as you will be using a range of digital systems and applications on a daily basis.

You will ideally have:

  • Strong organisational and time-management skills.

  • Previous experience in a healthcare, GP practice, NHS or other regulated environment would be advantageous, but is not essential.

  • GCSE grade 1 to C in English and Maths

Desirable
  • Previous GP/NHS/healthcare experience.

  • Experience supporting an operations/management function.
