Practice Manager

Job summary

An exciting opportunity has arisen for an enthusiastic and forward-thinking Practice Manager to join The Apples Medical Centre.

We are seeking a confident and capable leader who can oversee the day-to-day management of the practice while supporting the Partners in delivering high-quality, patient-centred healthcare. This is a varied and rewarding role requiring strong leadership, excellent organisational skills and the ability to work collaboratively with clinical and non-clinical teams.

The successful candidate will play a key role in ensuring the smooth operational running of the practice, supporting strategic development, maintaining regulatory compliance and fostering a positive and supportive working environment for staff.

Main duties of the job

  • Leading and managing the day-to-day operations of the practice.
  • Supporting and developing all non-clinical and clinical teams
  • Managing HR processes including recruitment, induction, performance management and staff wellbeing.
  • Monitoring practice performance against contractual requirements, Quality and Outcomes Framework (QOF) targets and enhanced services.
  • Ensuring compliance with CQC standards, Information Governance and Health & Safety requirements.
  • Working closely with GP Partners to support strategic planning and business development.
  • Managing practice finances in conjunction with the Partners and external accountants.
  • Liaising with Primary Care Network (PCN), Integrated Care Board (ICB) and other external organisations.
  • Promoting a culture of continuous improvement, teamwork and excellent patient care

We provide care for around 5,572 patients and are active members of the Sherborne Primary Care Network. We are a very friendly, dynamic and supportive team of 3 GP Partners, 2 salaried GPs, 2 advanced nurse practitioners, 2 practice nurses, 2 HCAs and 1 phlebotomists supported by our experienced administrative, dispensary and reception teams.

We regularly receive great patient survey results and CQC rating as good. We focus on importance of staff wellbeing and organise social events throughout the year. We are forward-thinking in how we develop staff and services to meet the needs of our patients.

Job responsibilities

Job responsibilities The Practice Manager provides overall business leadership, setting direction, developing the practices systems and processes, leading its people functions and helping to build a financially sustainable practice for the long term. The role leads a small management team and works closely with the GP partners to translate strategic priorities into practical delivery. The role carries particular responsibility for continuing the CQC inspection readiness work and supporting the practice to maintain high standards of patient care

Leadership, Business Planning and Systems Development Provide overall leadership of business planning, including monitoring practice performance against QoF, enhanced services and other contractual and national requirements. Lead the ongoing development of practice systems and processes, ensuring they are implemented, modern and efficient. Lead and support the practices management team, delegating operational and specialist delivery while retaining oversight of standards and outcomes. Ensure all practice systems are used effectively to support safe patient care and good information management.

People and HR Management Provide overall HR leadership across the practice, working closely with teams on day-to-day matters. Maintain HR policies and processes, reflecting current legislation and good practice. Apply practice HR policies consistently and fairly, leading recruitment and induction.

Compliance and Quality Act as the Senior Information Risk Owner (SIRO) for the practice. Ensure the practice meets its obligations under health & safety, safeguarding (Adults and Children) and employment law. Oversee clinical systems (SystmOne), IT and Information Governance, including GDPR and data protection compliance. Lead on incident reporting, significant event analysis and complaints handling. Keep practice policies under regular review and ensure staff are aware of and trained on them.

Strategic and Partnership Support Work closely with the GP partners to implement the practices action plan and priorities. Support a positive, open working culture across the practice, in keeping with the practices approach to people management

Person Specification

Experience

Essential
  • Managing, supervising and developing staff, including recruitment, induction, performance management and handling staff issues.
  • Experience of managing day-to-day operations, implementing policies and improving efficiency and quality of services.
  • Competent use of IT, including Microsoft Office.
  • Excellent verbal and written communication skills, with the ability to communicate effectively with patients, staff, clinicians and external organisations.
Desirable
  • Previous experience specifically as a Practice Manager, Deputy Practice Manager, Business Manager or Operations Manager in general practice.
  • Good understanding of primary care/healthcare services and the operational requirements of a GP practice.
  • Knowledge of NHS Primary care contracts, PCNs, ICBs and relevant NHS policies and frameworks.
  • Experience with clinical/practice systems such as SystmOne & Teamnet
  • Experience working with CQC requitements and preparing for inspections or regulatory reviews.
  • Experience of monitoring performance against objective, target and key performance indicators.
  • Ability to lead, motivate and support a diverse team and promote a positive working culture.
  • Understanding of safeguarding adults and children

Qualifications

Essential
  • GCSE grades A-C or equivalent
  • A good standard of education with excellent literacy and numeracy skills

  • Leadership and/or management qualification.
