The County Practice is looking for a highly motivated, enthusiastic Data Quality & Systems Lead to join our forward thinking data quality team. You will help us get the very best from our clinical systems and technology, supporting patients and staff.
Working closely with our clinical and administrative teams, you will play a key role in ensuring high quality data, efficient workflows and the successful delivery of new digital initiatives.

Job responsibilities
The following are the core responsibilities of the role. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
Leadership and Line Management
- Provide day-to-day leadership and supervision to the data quality team.
- Allocate and monitor workloads to ensure tasks are completed efficiently and KPIs are met.
- Conduct appraisals, performance reviews, and regular one-to-one meetings.
- Manage annual leave, sickness absence, and other HR processes in line with practice policy.
- Support staff training, development, and competency in clinical coding and workflow.
- Address performance concerns and implementation of improvement plans where needed.
Workflow and Clinical Coding
- Oversee all clinical workflow processes to ensure timely and accurate handling of clinical letters, discharge summaries, hospital communications, test results, medications, diagnoses, and follow-up actions.
- Monitor workflow queues and prioritise work according to clinical risk and urgency.
- Ensure incoming electronic communications are actioned, coded, or escalated appropriately.
- Maintain high standards of clinical coding in line with national and local guidance.
- Identify and improve inefficient workflow processes.
- Provide guidance and quality assurance on coding standards.
Data Quality, QOF, and Performance
- Lead data quality work to ensure patient records are accurate and complete.
- Monitor QOF progress and raise concerns with the senior team.
- Identify data gaps, inconsistencies, and risks, and take corrective action.
- Produce and analyse data quality searches and reports to support practice performance. Submit and monitor relevant financial claims using activity data. Working with teams to make relevant remedial action if needed
- Work with management and clinical teams to improve data-driven outcomes.
Patient Recalls and Monitoring
- Oversee patient recall systems, including chronic disease reviews, screening, and immunisations.
- Ensure recall processes are timely, effective, and accurately recorded.
- Monitor performance and make improvements where needed.
Audit and Compliance
- Lead and support data quality audits across the practice.
- Ensure compliance with NHS standards, policies, and best practice guidance.
- Review and update administrative and systems policies and procedures as required.
- Use audit findings to improve data quality and workflow processes.
Local Clinical Systems Support
- Act as the main on-site contact for new administrative technology and system implementation.
- Support basic IT and system issues, liaising with LHIS and external system providers when required.
- Build effective working relationships with the wider GP IT community and system suppliers. Maximizing current technology available such as telephony and AI
- Manage systems access for existing staff and new starters, including smartcards, onboarding, and removal of access where required.
- Maintain the system asset register including renewal management and support the annual Information Governance Toolkit return.
Administrative Oversight
- Oversee administrative processes linked to data quality, including scanning and record management.
- Support practice searches, reporting, and administrative projects as required.
Communication and Teamwork
- Work closely with clinicians, administrative staff, and management.
- Act as a point of escalation for complex data quality, workflow, and on-site IT issues.
- Communicate clearly and effectively to ensure consistency across the team.
Confidentiality and Information Governance
- Ensure compliance with GDPR and NHS information governance requirements.
- Maintain strict confidentiality and secure handling of patient information.
Person Specification
Qualifications
- Educated to A level/equivalent or higher, with relevant experience.
Experience
- Proven management experience in a GP practice or relevant NHS setting
- Experience in clinical coding data quality management and workflow processes and improving outcomes
- Experience of working in a healthcare setting using SystmOne
- Experience of leading or supervising administrative or data quality teams, including appraisal and performance management
- Experience of QOF patient recall systems and primary care targets. Comfortable with SystmOne reporting and functions.
