Partnerships Officer

Job summary

The Partnerships Officer provides comprehensive administrative and coordination support to the Partnerships team, helping to ensure the smooth and efficient delivery of The NHS Alliance's partnerships, sponsorship and commercial activities.

The postholder will support the administration of sponsorship, partnerships and exhibition activity, helping to ensure contracts, systems, records and internal processes are managed effectively and accurately.

The postholder will become an expert user of The NHS Alliance's customer relationship management (CRM) system, Microsoft Dynamics, and other business systems, supporting reporting, forecasting and the effective management of partnership activity across the organisation.

The successful candidate will be highly organised, proactive and detail-oriented, with excellent communication skills and the ability to manage a varied workload in a busy and fast-paced environment.

Main duties of the job

As a Partnerships Officer you will:

  • Provide comprehensive administrative and coordination support to the Partnerships team.
  • Manage the administration of sponsorship, partnership and exhibition agreements, ensuring contracts and deliverables are accurately tracked.
  • Maintain and develop accurate records within Microsoft Dynamics CRM and other business systems, supporting reporting and forecasting activity.
  • Coordinate commercial and financial processes, including invoicing, contract monitoring and income tracking.
  • Support the delivery of partnership events, meetings and communications, including stakeholder engagement and logistical coordination.
  • Act as a central point of contact for partnership-related enquiries and team activities.

Job responsibilities

  1. Provide administrative support to the Partnerships team Provide comprehensive administrative support to the Partnerships team, including supporting the planning and delivery of events.
  2. Manage sponsorship, partnership and exhibition contract administration Take responsibility for the administration of sponsorship, partnership and exhibition agreements, ensuring contracts are processed, stored and monitored accurately, signatures are obtained in a timely manner, and deliverables and deadlines are tracked throughout the contract lifecycle.
  3. Maintain CRM, records and reporting Manage and maintain accurate records within Microsoft Dynamics CRM and other business systems, ensuring partnership, sponsorship and prospect information is up to date and supporting reporting, forecasting and performance monitoring.
  4. Coordinate financial and commercial processes Support the administration of commercial activity by coordinating invoicing processes, tracking contract status and income, and maintaining accurate documentation to support governance, audit and reporting requirements.
  5. Support partnerships events, communications and team coordination Provide administrative support for partnership-related events, meetings and communications, including logistical coordination, website content updates, stakeholder correspondence and acting as a central point of coordination for the Partnerships team.


Person Specification

Experience

Essential
  • 1. Administrative and coordination experience (Experience providing high-quality administrative or coordination support within a busy team environment, with the ability to manage multiple priorities and deadlines.)
  • 2. Contract and record management experience (Experience administering contracts, maintaining accurate records and tracking deliverables.)
  • 3. CRM and systems expertise (Experience using CRM, database or business management systems to maintain information, produce reports and support operational processes.)
  • 4. Communication and stakeholder skills (Excellent written and verbal communication skills, with the ability to build positive working relationships and provide professional support to a range of internal and external stakeholders.)
  • 5. Strong organisational and IT skills (Highly organised with excellent attention to detail and strong Microsoft Office skills, including Outlook, Word, Excel and PowerPoint, with the ability to produce professional documents, reports and presentations.)
