Executive Assistant to CEO

We’re looking for an experienced and highly organised Executive or Personal Assistant to support our CEO on a fixed-term basis for 12 – 14 months.

The role will primarily focus on day-to-day support, but you’ll also coordinate the leadership team by tracking priorities, ensuring commitments and deadlines are met. You will need to work proactively and independently to keep things running smoothly behind the scenes.

We’re a construction and technology company, so this isn’t a corporate setting. You’ll need to work collaboratively, roll up your sleeves and get involved in many aspects of the business. The role blends business and occasional personal assistance tasks, requiring you to work with initiative and discretion.

This is a maternity cover for 12 months with additional time required to allow for handover, starting late September or October. Based in our central London office near Liverpool Street, with two days a week working from home (usually Monday and Friday).

What you’ll be doing

The things you’ll get involved with include:

  • Managing our CEO’s diary and inbox, ensuring priorities are clear and time is used effectively.
  • Taking ownership of a range of administrative activities on behalf of the CEO and the company.
  • Tracking actions and commitments on behalf of the CEO, ensuring deadlines and expectations are met.
  • Working closely with our Managing Directors across the group to keep business activities on track.
  • Preparing, drafting, and sending communications and company updates.
  • Attend quarterly board meetings, take accurate minutes, and distribute them to relevant stakeholders in a timely manner.
  • Supporting twice-yearly company events and other yearly business activities.
  • Liaising with clients and stakeholders professionally and confidently.
  • Coordinating international and domestic travel arrangements.
  • Providing occasional personal assistance tasks with complete confidentiality.
  • Acting as a super user and administrator for key business systems.
  • Being adaptable to a variety of ad-hoc requests, using initiative to get things done.
  • Contributing to a positive, supportive, and direct working environment.

What we’re looking for

  • Previous experience in more than one Executive or Personal Assistant role.
  • Strong Microsoft Office skills (including SharePoint) and the confidence to pick up new systems or processes quickly.
  • Highly organised, proactive, and comfortable working independently.
  • Confident communicator who can work with people at all levels.
  • Discreet and trustworthy in managing sensitive information.
  • Flexible and adaptable with the ability to prioritise and manage changing demands.
  • Comfortable balancing high-level executive support with practical, hands-on tasks.
  • Ideally, experience within the construction, manufacturing or similar non-corporate environment.
